Overview
The Proposal Coordinator / Writer plays a crucial role in the development and submission of proposals and grant applications on behalf of UKAEA. Working under the Business Development team, this position involves collaborating with cross-functional teams, managing content, ensuring compliance with procedures, and maintaining efficient bid processes. The ideal candidate possesses strong writing skills, attention to detail, and the ability to work under pressure.
Responsibilities
Proposal and Grant Coordination / Writing:
Support the Business Development Managers and their technical Divisions to deliver high quality bid and grant applications within specified deadlines.
Collaborate with bid team members to gather essential inputs for proposal and grant applications.
Support technical authors with authoring of non-technical sections of proposal and grant applications.
Content Management:
Maintain a comprehensive boilerplate library, templates, bid folders, and BD register data in accordance with the organisation's procedure documents.
Regularly update and archive existing boilerplate content.
Procedure Management:
Ensure bids align with the bid and opportunity proposal procedure.
Respond to audit actions promptly and ensure closure.
Organise reviews and finalize submissions for both commercial proposals and grant applications.
Submission Ownership:
Take ownership of submissions to clients and specified portals for grant applications (as required).
Ensure timely completion of bids, proposals, quotations, and grant applications within specified timeframes and budgets.
Client Interaction:
Liaise with clients or funding bodies during the bid timeline.
Submit clarification questions on behalf of the team before bid submission.
Address client queries and provide feedback following award notifications.
Feedback and Lessons Learned:
Store feedback received for continuous improvement and lessons learned.
Maintain bid status records throughout the bid process in the BD register.
Reporting and Communication:
Regularly report progress on bid and grant applications to the wider BD team.
Work well under pressure and meet challenging deadlines.
Technical Support:
Assist technical authors in understanding the BD bid process.
Provide guidance on best practices for bid writing.
Qualifications
Education: A bachelor's degree in a relevant field (e.g., Marketing, Communications, English, Journalism, Business, Engineering).
Experience: Prior experience in a similar role is preferred. Experience working on grant applications for the public sector - desirable.
Skills:
Excellent writing and editing skills.
Strong organisational abilities.
Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Understanding of bid procedures and project management principles.
