Our Central Lettings and Property Management department offers a fantastic opportunity for an experienced lettings professional to progress their career with an award-winning business. We are looking for an individual who has extensive knowledge and understanding of complex lettings queries who can offer our business and clients an expert approach.
KEY RESPONSIBILITIES:
1. Working as part of the Expert services team with conducting document approvals and assisting staff throughout lettings with any queries they have.
2. Meet and exceed both team and individual service standards.
3. Delivering an exceptional service for continued growth of the business.
4. Deal with standard enquiries for all disciplines and ensure all client queries are dealt with efficiently and in a timely manner.
5. Ability to deal with complex queries alongside the Property Management teams.
6. Investigate and resolve queries and problems. Advise and recommend a course of action on a range of property issues.
7. Where necessary, deal with tenant & landlord disputes and complaints in writing and verbally to resolve to all parties' satisfaction.
8. Ensure that all relevant people are kept informed and up to date with progress particularly in relation to client & customer disputes, issues, and complaints. Manage expectations and ensure you follow up all queries.
9. Calling existing clients to gain management upgrades and referral opportunities.
10. Work closely with the Expert Services team to ensure all tasks are completed in line with business needs.
11. Ensure that all queries are dealt with promptly and effectively and action is taken in line with agreed service standards.
12. Maintain and use office systems effectively.
13. Seek to continuously streamline and improve current processes and procedures. Actively take on feedback from Clients.
14. Follow the approval process to ensure all document approvals that are sent to Expert Services are dealt with daily.
15. Assist and answer complicated lettings queries to all areas of the business, following our standard procedures.
16. Review and sign off requests from branches and central teams in line with company parameters.
17. Comply with lettings administrative procedures and all relevant legislation, Codes of Conduct and Practice, and Due Diligence procedures.
18. Apply an understanding of legal requirements.
KEY SKILLS AND COMPETENCIES:
1. Previous Property Management/ Lettings experience (5 years minimum).
2. Strong communication skills both on telephone and in writing.
3. Quick to learn and follow procedures.
4. Highly organised with an acute attention to detail.
5. Determination to manage and meet Client expectations.
6. Able to make investigative inquiries when issues arise and maintain an objective view.
7. Able to work on own initiative and take ownership of problems.
8. Able to work to tight deadlines and deal with high volumes.
