SALARY UP TO £32,000 DEPENDING ON EXPERIENCE
Our client a leading supplier of rail infrastructure including Civil Engineering, Communications, Permanent Way, alongside Civil Engineering & Building projects with the Rail sector. They now require an Administrator to join their busy and ever-expanding team.
This job description reflects the major tasks to be carried out within the role and identifies the level of responsibility but not limited to. The position may also require other duties which are to be carried out from time to time as deemed appropriate by your line manager.
Responsible to the Transport Manager for overall responsibility for all Transport related matters in the company with emphasis on:
* Maintain Smart Check vehicle defect report system, ensuring all defects are correctly managed and rectified.
* Enter all defect reports and mileages on fleet management system (Syrinx) and produce outstanding works reports for fitters or other external repairers.
* Update syrinx service reminders for vehicle services repairs, taxation, and MOT.
* Issue and record the movements of all company fuel cards and produce reports where necessary. Ordering of replacement fuel cards and cancelling cards which are no longer required.
* Update vehicle tracker system on a regular basis and produce reports where necessary.
* Monitor vehicle over-speeds on tracker system, reporting to line management and Transport Manager.
* Enter all existing and new driver licenses on licence management system (Licence Bureau) and report any discrepancies to Transport Manager.
* Maintain upkeep of driver profiles on Microsoft Forms. Remove drivers which are no longer current. (vision checks, driver details, medical declaration, driver handbook ack).
* Payment of PCNs & Fixed Penalty Notices. Appealing PCN’s where possible to local authorities relating to nature of works.
* Assist with taxation of vehicles.
* Maintain upkeep of Congestion Charge, Dart Charge, Mersey Toll and Dublin Toll fleet accounts.
* Assist FORS practitioner to oversee FORS membership. (Bookings of group training, driver e-learning, toolbox talks, vision checks, PCN data, tyre management date, fuel report)
* Assist Transport Manager with driver inductions.
* Assist with management of vehicle/driver incidents/collisions (capture of driver data, insurance claim forms, FORS collision forms, interview driver for collision management.
* Promote the Company’s Values, and PALS Behavioural Based Safety programme in all aspects of your role within the Company.
Competence requirements
* Knowledge of Word, Excel and Office documents.
