The ideal candidate will:
* Have at least 8 years of experience as a secretary/PA, with at least 4 years in a professional or financial business.
* Be friendly and likeable, with a great telephone manner and a genuine interest in people.
* Have strong attention to detail, common sense, and organisational skills
* Be competent with Microsoft Office and general computer use.
* Be proactive —the role requires thoughtfulness and awareness.
* Have a Professional outlook, and be comfortable following procedures
* Have English as a first language, and be a proficient communicator
Duties and Responsibilities:
* Handling post - scan, and categorise incoming post. Organise outgoing post, distribute post to clients and internal team members. Ensure that important documents are filed appropriately.
* Client interaction - answer phone calls, handle client queries, and route calls to the appropriate team members. Respond to general client requests (e.g., providing copies of documents, answering basic questions). Contact clients on behalf of team members, following up on tasks. Prepare client communications (letters, emails, etc.) in a clear professional manner.
* Personal assistant to partner, act as a personal assistant to the principal, managing their calendar and appointments. Coordinate meetings, and ensuring documents are ready.
* Letters - type up correspondence from voice recordings. Draft routine letters (e.g., reminders, requests for information, follow-ups) based on templates. Review and proofread letters and documents.
* Email management - handle email correspondence, prioritising messages and forwarding to appropriate colleagues. Help manage the office general admin inbox
* Additional tasks - assist with the firms internal admin, such as filing invoices and bills.
