This role is an Operations Site Lead at the University of Warwick Health Centre. The successful candidate would supervise the day to day operational running of the branch surgery under the direction of the lead site Practice Managers (Allesley Park Medical Centre & Broomfield Park Medical Centre).
Main duties of the job
* Facilitating, training, education, and research within the Practice as appropriate under the supervision of the main site Practice Managers.
* Keeping the main site Practice Managers up to date/aware of any staffing issues or needs.
* Contributing to the branch surgery functions as an effective group of people by developing individuals and the team to achieve common goals and tasks.
* Assisting the main site Practice Managers with interviewing, appointing, and staff.
* Maintenance under the supervision of the main site Practice Managers of staff rotas and cover for annual leave and sickness.
* Dealing with non-medical problems for General Practitioners and other clinical and non-clinical staff.
* Acting as a main point of contact for branch surgery staffing needs including any challenges or issues that arise on site.
* Assisting in the induction and training of new staff.
* Compliance with Health and Safety, COSHH and employment legislation including risk management.
* Ensuring that all team members are following practice policies and procedures and adhering to safety standards.
* Attending main site practice meetings where appropriate.
* Delegating tasks and responsibilities to team members and reporting any issues with employee performance to the main site Practice Managers.

* Ensuring the smooth running of the registration period at the beginning of the academic year.
* Completion of administrative tasks within the branch surgery.
* Promoting and demonstrating excellent customer service.
* Supporting co-workers to maintain an effective, hardworking, and friendly working environment.
* Leading by example and acting as a role model for co-workers.
* Ensuring that the deduction process is managed in a timely manner, undertaking monthly searches, and establishing whether students have left and deducting appropriately.

Finance
* Collating invoices and ensuring that the expenditure is equal between the two sites.
* Collating income from patients ensuring that this is recorded accurately between the two practices.
* Ensuring that all overtime is approved prior to it being worked, and then recorded accurately and confirmed ready for payroll.
* Under the supervision of the main site Practice Managers, ordering of stock and keeping an overview of stock levels to ensure sufficient supplies.
Rota
* Setting up of branch surgery appointments/clinics on EMIS (clinical system).
Surgeries
* Ensuring the smooth running of surgeries, clinics, preparations of rooms, equipment and adequate staff cover. Liaising with the clinical and admin team to ensure there is adequate cover and good appointment management.
Computers
* Ensuring that all computer-related equipment is functioning.
Information
* Circulating information and emails (between the main sites when necessary).
* Ensuring compliance with terms of Access to Medical Records, Access to Medical Reports, Data Protection Acts and other relevant legislation.
Premises
* Supervising cleanliness, hygiene, appearance of premises/grounds and working conditions.
* Initiating general maintenance and repairs to building and grounds under the supervision of the main site Practice Managers.
* Ensuring the Practice complies with all aspects of The Health & Safety at Work (HASAW) legislation.
* Maintaining appropriate supplies and services under the supervision of the main site Practice Managers.
Safety and Security
* Instituting and organising fire and safety procedures.
* Safe storage and disposal of hazardous waste.
* Investigating accidents occurring on the premises.
* Ensuring staff are aware of security arrangements.
* Ensuring all significant events/incidents are discussed at the Practice meetings.
Others
* Flexibility in working hours as the job demands (e.g., extra/longer hours during the registration period).
