We are excited to be looking for a Conference & Events Coordinator to join the Conference & Events team at Emirates Old Trafford, home of Lancashire Cricket.
About Us
Emirates Old Trafford, home of Lancashire Cricket, is an award-winning world-class stadium and venue. It is recognised as one of the UK’s most prestigious venues for sport, business, leisure and entertainment with a capacity of up to 50,000 people for concerts; 26,000 for international cricket matches; meetings and events spaces for up to 2,000 delegates; a four-star hotel with 250 rooms; and an on-site Caffè Nero.
The venue has played host to some of the world’s biggest sporting events, including six ICC Cricket World Cup fixtures in 2019, Ashes Test Matches and world class concerts. In previous years we have welcomed performances from Harry Styles, Arctic Monkeys, Foo Fighters and the Red Hot Chilli Peppers and had numerous cricket matches, including England one day internationals and a test match. Key Responsibilities
To support our ambitions to achieve continued growth in the C&E Team we are looking for an experienced Conference & Events Coordinator to join our team. You will be responsible for:
1. Co-ordinating all event details and producing a function sheet for all events to exceed clients’ expectations, including managing client timings, menu options and special diets, signage, and working with clients’ suppliers (AV, décor, entertainment).
2. Supporting the sales team in facilitating show-rounds with potential clients to showcase our facilities, successfully converting enquiries.
3. Conducting post-event calls/follow-ups and generating feedback and analysis on all events to improve the overall service standard of EOT.
4. Ensuring clients' minimum contracted numbers are achieved.
5. Promoting our facilities to new and existing clients through a proactive approach.
6. Managing internal meeting requests as needed.
7. Maintaining regular and effective communication between all relevant departments.
8. Assisting in implementing the sales strategy for encouraging repeat business and up-selling.
9. Covering Operations Managers when necessary in relevant duties.
Essential Requirements
1. Excellent administration skills, strong attention to detail, and the ability to prioritize workload to meet strict deadlines and coordinate multiple events of varying sizes.
2. Ability to deliver high standards of customer service.
3. Good communicator - i.e., verbal and written.
4. Flexible in approach.
5. Ability to work under pressure.
6. IT literate with strong working knowledge of Microsoft packages, particularly in Word and Excel. A working knowledge of Delphi would be very useful.
7. Flexibility in hours and days of work all year, particularly during the cricket/concert season.
8. Sales experience.
9. Strong negotiation skills.
10. Proactive with the confidence to call prospective clients, agents, and other venues.
