Are you the friendly face and organized professional we're looking for? Our Clinical Assessment Unit at Crawley Hospital is seeking a dedicated Receptionist to be the first point of contact for our patients and visitors.
This role is perfect for someone with excellent communication skills, a calm demeanour, and a passion for helping others.
The successful candidate will be working variable hours between 7:15am - 10:30pm Monday to Sunday on reception in our Clinical Assessment Unit (CAU) to ensure the efficient and effective operation of all units through the co-ordination and provision of high standards of reception and clerical services.
Main duties of the job
* Receives Patients and visitors to the service. Responds to queries and requests for information as directed by office procedures, guidelines and protocols. Refers complex or unusual requests to the Team Administrator or a member of the clinical team.
* Regularly checks on the tidiness and cleanliness of the office environment and takes action to ensure any problems are resolved.
* Undertakes admin tasks that are assigned.
* Attends team meetings within the service.
* Formats letters and reports where necessary.
* Carries out photocopying.
* Ensures incoming or outgoing post is processed promptly.

Job responsibilities
* Provides feedback about how reception and administrative procedures work in practice in the CAU to help with identifying improvements.
* Books patients that attend the CAU onto the computer system and makes appointments for follow up clinics. Assists with photocopying and posting of letters as required to various agencies.
* Assists new staff recruited to the reception team by demonstrating own duties and explaining procedures and standards.
* Participates in the performance development review process, and attends training courses that are mandatory and for personal development.
* Ensures the privacy, dignity and confidentiality of patients, relatives and colleagues is respected at all times.
Person Specification
Qualifications
Essential
* School leaving qualification (GCSE or equivalent) in maths and English language or able to demonstrate equivalent competence or experience.
* NVQ Level 2 or equivalent qualification in business administration or equivalent experience.
Experience
Essential
* Keeping personal or sensitive information confidential.
* Excellent telephone and communication skills.
* Producing documents, letters and email using IT.
* Previous experience in dealing with the general public.
Desirable
* Working as part of a team - making a contribution and helping others.
* Previous experience of activities that involve receiving queries from others providing information, directions or taking and passing on messages.
Skills and Knowledge
Essential
* Able to remain calm and polite when it is busy or if dealing with someone who is upset or worried about their health.
* Good written and spoken English.
* Able to record accurate information over the telephone or face to face.

* Excellent organisational skills.
