We have a fantastic opportunity for an experienced Administrator to join our Workspace team, based from our Head Office at One Strawberry Lane, Newcastle - the freshest workspace in town! You'll support our Community Hosts and Facilities team to keep the good vibes flowing by providing fantastic admin support on all room booking requests. You'll be booking rooms, setting them up, arranging catering to processing invoices for payment; there's lots to keep you busy! * You'll take enquiries for room bookings, advising on which rooms and layouts work well for each event and accessibility needs, ensuring a seamless booking process for all meetings and events.
* Setting up rooms, including room change overs for the next users, arranging/delivering catering and refreshments.
* Ensuring invoices are issued for payment in a timely manner and supporting our Facilities and Finances teams with invoicing and payments.
* Supporting our Community Hosts as the first point of contact for visitors and colleagues into our building, providing a first-class welcome. You'll ensure we are compliant with all visitors and building users signed in and issued with correct ID cards.
* Providing other admin support to the team as required using your excellent Microsoft Office knowledge including Word, Excel, Outlook, Powerpoint and Teams., You'll report to Karen, our Workspace Community Manager and work with our team of fantastic Community Hosts who are passionate about ensuring a great place to work and that our workspace is always thriving., Hours are 37.5 per week Monday to Friday.
Previous administration experience in a busy environment or have worked in customer service or a hospitality role.
* Excellent communication skills, confident to greet visitors and can make them feel welcomed. You'll be organised, able to multitask, prioritise workloads and meet deadlines too.
* Experience in using Microsoft Office packages including Word, Excel, Outlook, PowerPoint and Teams. You are able to pick up new applications quickly such as audio/visual equipment set up, access control systems and apps - but don't worry we'll support you to learn that!
* An eye for detail, with a proactive approach to solving problems and able to work with initiative to achieve results.

* You must be able to use technology for administrative support tasks including Microsoft products, communicating with colleagues and completing online learning.
