An exciting opportunity has arisen within the Corporate Governance Team, we are looking to recruit an Information Governance Senior Assistant to administer and maintain effective systems to support the information governance function.
The postholder will ensure Data Protection and the UK General Data Protection Regulations are adhered to. The postholder will be responsible for ensuring effective handling of general data privacy enquiries including supporting data privacy impact assessments, Subject Access Requests and Freedom of Information requests.
You will have a proven track record and experience of information governance, including the development and implementation of systems and policies. You will have excellent communication skills and the ability to communicate at all levels across the organisation and with external stakeholders and members of the public.

Main duties of the job
The Information Governance Senior Assistant will:
1. Provide an integrated information governance service function across the organisation, acting as the first point of contact for staff and delivering professional and timely support for information governance and data privacy enquiries, issues and risks, including compliance with data protection regulations.
2. Be responsible for the daily review of information governance enquiries received, including Subject Access requests from the public, managing these appropriately in line with policies and procedures.
3. Support Freedom of Information requests as required.
4. Support the central process for maintaining relevant registers including, but not limited to, Data Privacy Impact Assessments, Information Sharing Agreements, and Subject Access Requests.

The Corporate Governance Team plays a critical role in the development, review, and embedding of corporate governance systems and processes across the organisation, ensuring appropriate alignment across the integrated care system.

Job responsibilities
Key responsibilities will include:
1. Administer and maintain an effective system which enables a response to internal and external enquiries and requests relating to general data privacy including privacy impact assessments, Subject Access Requests, enquiries from the Information Commissioner's Office, data breach/information governance incidents monitoring and reporting.
2. Review, maintain and oversee legal compliance with Freedom of Information (FOI) requests and the Data Security and Protection Toolkit requirements using project methodology.
3. Coordinate and liaise with Executive Directors, Heads of Department and lead officers across the organisation regarding data privacy/Subject Access Requests enquiries/responses and act as the point of contact for such requests/responses for external enquiries.
4. Direct, support, and assist patients/public in person, by telephone, email, and in writing using a variety of communication skills, taking direct ownership and responsibility for resolving enquiries at the first point of contact where possible.
5. Provide advice to staff across the organisation and to patients/relatives/carers on the relevant information governance procedure.
6. Monitor service performance and improvements producing reports for onward reporting in conjunction with the Senior Information Governance Officer and Corporate Governance Manager.
7. Accurately capture details of all customer/staff contacts and keep records up to date, accurate and accessible, including using specific software on a daily basis, scanning records, and managing confidential data.
8. Operationally support data privacy impact assessments, including support with implementing actions to mitigate risks identified.
9. Provide administrative support including taking minutes, committee forward planners, preparing meeting agendas, production, coordination, preparation, and dissemination of reports, minutes, and other documents in respect of the Board and the committees of the organisation and other sub-groups.
10. Implement policies for own area of work and participate in proposing changes to policies and procedures (e.g., Freedom of Information, Information Governance and Information Security policies, risk management, Freedom of Information Act Policy) ensuring quality improvement and monitoring is integral to all aspects of the organisation.

* Educated to degree level in relevant subject or equivalent level of experience of working at a similar level in a specialist area such as senior administration.
Knowledge and experience
Essential
* Demonstrable experience dealing with sensitive and confidential information.
* Experience and knowledge of handling Freedom of Information requests and enquiries, Subject Access Requests and Data Privacy Impact Assessments.
* Experience and knowledge of information governance and data privacy compliance, including Data Security and Protection Toolkit.
* Experience of minute-taking and administering Board and committee level meetings.
