Job overview
The Harrow Children Looked-after Health Team ensures that all those involved in the care of looked-after children in Harrow are aware of and address relevant health issues.
The team also provides a service to children who live in Harrow and who are looked after by another local authority.
The post holder will be responsible for providing efficient and high-quality oversight of administration processes, secretarial and information support to the Harrow Children Looked After Service based at Westmead Clinic. The post holder will play an integral role as part of the team in order to maintain smooth running and operation of the service and facilities, essential to the running of the service.
Main duties of the job
To be willing and able to undertake the duties of a Team Administrator to support the clinical staff within the Children Looked After team to provide a safe and effective service, able to carry out the following duties:
1. Deal with telephone enquiries from health professionals, services users, service user families, carers and team members in an informed and sympathetic manner, taking into account mental/physical health needs, and cultural or language barriers. Taking and passing on messages promptly and taking action where necessary.
2. Demonstrate excellent written and verbal communication skills. Communicate professionally and effectively with a variety of people at all levels both internally and externally.
3. To provide and receive complex and sensitive information using tact and diplomacy.
4. To have a comprehensive understanding of computer software such as MS Office and SystmOne.
5. Processing and analysing urgent and non-urgent data requests from clinicians and senior managers and making sure all administration processes for each referral are adhered to with speed and fluency.

Person specification
Qualifications and Education
* GCSE (A* - C) or equivalent in Maths and English
* ECDL or equivalent
* NVQ3 in customer service, office administration or relevant subject
* BTEC Level 3 or equivalent
Experience
* Knowledge of Looked after children
* An understanding of the importance of confidentiality and dealing with sensitive information
* Experience of working in a health or social care environment
* ICT experience of Microsoft Office packages to compose standard letters and reports, along with more complex documents, and demonstration of excellent keyboard skills.
* ICT experience of working with databases including Excel to input, store, modify, structure, maintain, analyse and present data & information
* Using power point and ability to create presentations
* Knowledge of Harrow children’s services
* Specific experience of working with SystmOne Clinical System
* Experience within Safeguarding
Skills and Abilities
* Demonstrable knowledge of MS Word, Outlook, MS Teams and Excel
* Accurate data entry and typing skills
* Excellent written and verbal communication skills
* Ability to negotiate and influence others
* Able to work to a high level of accuracy and with attention to detail
* Demonstratable Knowledge of using different systems and databases
* Ability to work unsupervised
