About the Role:
Our client, a key player in the utilities sector, is seeking a skilled Document Controller to support an exciting Electrical Transmission project. This is an excellent opportunity for a proactive individual with a solid background in document management to contribute to a major infrastructure project valued in the hundreds of millions. You will play a crucial role in ensuring the robust management of project documents, records, and deliverables, utilising a SharePoint site.
Key Responsibilities:
* Manage and maintain the Project Master Deliverables Register to ensure all documents are tracked and accessible.
* Serve as the first point of contact for Project Managers regarding document control on their projects.
* Oversee key information delivery processes, including incoming and outgoing transmittals, ensuring timely responses and a maintained audit trail.
* Manage requests for information, logging actions and ensuring compliance with deadlines.
* Apply and audit metadata standards within SharePoint project sites and document deliverables.
* Administer Project SharePoint Sites, controlling access in line with the permission matrix.
* Provide first-line assurance for documents and records, conducting quality checks and resolving issues per established procedures.
* Deliver weekly performance reports to Project Managers concerning project documentation.
* Train project teams on document control processes, offering hands-on support as needed.
* Identify and implement improvements to existing processes and procedures.
* Support the transition of project documentation to a new Common Data Environment (CDE) platform (Autodesk Construction Cloud).
* Assist the Project Director and Senior Project Manager with general team administration tasks.
* Act as the key contact for the Chepstow Project Office.
Key Skills and Experience:
* Hands-on experience in document management and quality record management.
* Strong understanding of major infrastructure project information delivery processes and challenges.
* Extensive experience in SharePoint administration and its application as a project information repository.
* Familiarity with a range of Electronic Document and Records Management Systems (EDRMS).
* Attention to detail with a strong commitment to compliance with standards and processes.
* Excellent communication and engagement skills.
* Proficiency in MS Office tools, including Excel and Word.
* Experience with Autodesk Construction Cloud (ACC) is desirable.
* Knowledge of the energy transmission sector is beneficial but not mandatory.
