Executive Assistant Annual Salary: £40,000 to £45,000 Location: Abingdon Job Type: Permanent, Full-time (initially on-site, transitioning to hybrid) We are seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative support to our Chief Operating Officer and Chief Financial Officer. This role is crucial in managing a variety of high-level executive and administrative tasks, ensuring efficient operation within our executive offices. Day-to-day of the role: Executive Support: Manage daily administrative tasks including calendar management, scheduling, and handling email correspondence. Coordinate complex meetings and ensure all logistics are properly set up. Calendar and Travel Management: Efficiently manage executives’ calendars and travel arrangements, ensuring optimal time management and adherence to schedules. Meeting Preparation and Coordination: Prepare meeting agendas, documents, and presentations. Attend key meetings, take notes, and ensure follow-up on action items. Stakeholder Communication and Liaison: Serve as the primary point of contact between executives and internal/external stakeholders, facilitating effective communication and timely follow-up on requests. Project and Task Management: Assist in project management, track progress, and ensure deadlines are met. Compile information to support decision-making and strategic initiatives. Office and Administrative Management: Oversee the smooth operation of executives’ offices, maintain filing systems, and manage communications. Confidentiality and Discretion: Handle sensitive information with the highest level of discretion and ensure the executive is well-prepared for all engagements. Event Planning: Organise company events and team-building activities, managing all event logistics in alignment with company values. Required Skills & Qualifications: Proven experience as an Executive Assistant or similar role, preferably supporting senior executives. Excellent organisational and time-management skills. Proficiency in Microsoft Office Suite and familiarity with collaboration tools like Zoom, Teams, and Slack. Strong written and verbal communication skills. Ability to handle multiple tasks and projects with high efficiency. Proactive mindset, anticipating needs and offering solutions. High level of professionalism, integrity, and discretion in handling confidential matters. Strong attention to detail and ability to prioritise in a fast-paced environment.
