Role Overview:
We are seeking a proactive and detail-oriented Sales and Administrative assistant to support our Sales Manager in managing quotes for large commercial civil, landscaping, and building projects. This role combines sales administration, CRM management, and executive assistance to ensure smooth operations and effective communication across the team. Training and onboarding will be provided to get to know products and systems.
Work Hours:
* 40 hours per week
* Monday to Friday, 9AM to 6PM Melbourne VIC (6:00 AM to 3:00 PM PHT)
* Includes 1 hour unpaid break
Key Responsibilities:
* Quoting Support: Collaborate with the Sales Manager to prepare and manage quotes, maintaining accurate status updates in the CRM.
* Purchasing Support: Supporting the team with administration of purchase orders.
* Communication: Liaise with internal teams and occasionally external stakeholders to facilitate project requirements.
* Email Management: Act on behalf of the Sales Manager by handling correspondence, scheduling meetings, and ensuring timely follow-ups.
* Scheduling: Coordinate customer meetings, bookings, and other appointments.
* CRM Oversight: Track the lifecycle of quotes in the CRM, ensuring all data is accurate and up-to-date.
* Reporting: Assist in generating basic reports and summaries (with potential for expansion into more advanced reporting).
* Collaboration: Engage daily with the team, ensuring alignment and support across functions.
Qualifications:
* Education: A degree in civil engineering or building would be good, but not essential. We value experience over degree.
* Experience: Previous experience in sales administration or a similar support role is essential. Familiarity with ERP systems (Odoo experience is a plus).
* Skills: Strong organizational skills and attention to detail. Proficiency in using CRM tools and Microsoft Office Suite.
* Attributes: A proactive attitude with the ability to work independently, strong teamwork and collaboration skills, and flexibility to adapt to evolving tasks and responsibilities.
