Overview
Entry Group UK Ltd are seeking a highly organised and detail-oriented Group Administrator to join our team based in our head office location in Plymouth. The ideal candidate will play a crucial role in ensuring the smooth operation of our depots by managing various administrative tasks. This role involves managing communications, maintaining records, coordinating schedules, and assisting with HR tasks.
Responsibilities
1. Answer the telephone and deal with customer enquiries, taking messages where necessary and re-directing calls.
2. Schedule and coordinate meetings, appointments and events, and manage director’s diaries.
3. Use various Microsoft Office applications to produce documents, reports, letters, training packs, etc.
4. Manage training records and ensure all expiry dates do not lapse.
5. Maintain and manage all company accreditations using online portals.
6. Manage the company fleet vehicles, including booking service and MOTs.
7. Maintain and organise filing systems both physically and digitally.
8. Assist the Finance and Administration Director with HR as required.
9. Source and book hotel accommodation/vehicle hire as needed.
10. Maintain stationery stock and order supplies as needed.
11. Maintain sickness and holiday logs across various CRM systems.
12. Prepare and manage rotas for staff on call.
Qualifications
1. Proven experience in an administrative role or similar position is a must for this role.
2. Strong computer skills, particularly in MS Office.
3. Familiarity with QuickBooks is advantageous but not essential; training can be provided.
4. Excellent organisational skills with the ability to manage multiple tasks simultaneously.
5. Strong attention to detail and accuracy in all aspects of work.
6. Effective communication skills with a focus on professional phone etiquette.
7. Ability to work independently as well as part of a team in a fast-paced environment.
