Admin & Meetings Assistant

Salary £26,000 to £28,000 (Depending on Experience)
We are seeking a highly organized and proactive Administrative, Meetings & Events Coordinator to join our team at a prestigious 4-star hotel in Oxford. In this role, you will be responsible for the seamless planning and coordination of meetings, events, and administrative operations to ensure exceptional guest experiences.
This is an exciting opportunity for a detail-oriented professional with excellent communication and organisational skills to contribute to the success of our hotel's events and operations.
Key Responsibilities
* Act as the primary point of contact for clients planning meetings, events, and conferences at the hotel.
* Coordinate event logistics, including room bookings, catering, audiovisual requirements, and other special arrangements.
* Collaborate with the sales team to manage event inquiries, proposals, and contracts.
* Prepare detailed event schedules, ensuring all hotel departments are informed and prepared.
* Conduct pre-event briefings with clients and staff to ensure smooth execution.
Administrative Support
* Manage the administrative tasks related to meetings and events, including maintaining accurate records and generating reports.
* Process invoices, payments, and contracts related to events.
* Handle guest inquiries and provide prompt, professional responses.
* Maintain and update the event calendar, ensuring no scheduling conflicts.
Customer Service
* Provide a warm and professional welcome to clients and guests.
* Address any issues or concerns during events, ensuring a positive experience for all attendees.
* Gather post-event feedback to identify opportunities for improvement.
General Duties
* Support the General Manager and Meetings & Events Manager with ad-hoc tasks as required.
* Ensure compliance with health and safety regulations during events.
* Continuously develop knowledge of the hotel's offerings to maximize guest satisfaction.
Key Skills and Competencies
* Strong organizational and multitasking abilities.
* Excellent communication and interpersonal skills.
* Attention to detail and a proactive approach to problem-solving.
* Ability to work under pressure and meet tight deadlines.
* Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and event management software.
* Knowledge of hospitality or event industry standards is a plus.
Qualifications and Experience
* Previous experience in event coordination, administration, or a similar role within the hospitality sector.
* A degree or diploma in Hospitality, Events Management, or a related field is preferred.
* Familiarity with Oxford's local market and corporate event requirements is advantageous.
