The role To support the Estates Manager, Senior Estates Manager and Head of Estates and Compliance in managing Bupa’s outsourced estates management provider in relation to general estate management issues. Liaising with Finance and other teams on issues arising from leases, neighbour disputes and other general leasehold and property matters. Supporting the negotiation of leases and activities relating to insurance, rent, rates and other charges associated with Bupa’s tenant/landlord responsibilities. You’ll help us make health happen by Day to day management of the outsourced estate management supplier and estate management enquiries from team members, colleagues, suppliers and members of the general public. Provide clear and prompt instructions to professional advisors i.e. solicitors and surveyors. Regularly updating the Portfolio database and the outsourced estate management supplier of any changes to the portfolio i.e. landlord contacts, change of bank details and lease events. Liaising with Finance on a regular basis to ensure all quarterly rent, service charge, building insurance and business rates invoices have been received for payment, and reviewing queries on payments, credit notes and business rates. Monitoring outstanding business rate bills with Finance and the outsourced estate management supplier for payments yet to be set up. Liaising with Councils/Local Authorities on all urgent matters regarding business rates and council tax, such as court summons’, final reminders, and legal notices and where possible instruct our estates management partners on raising/chasing Updating the operational payment spreadsheet on all service charge and insurance costs and submitting budgets and reconciliation reports to outsourced estate management suppliers for verification before processing. Collaborate with Property Managers and the outsourced estates management supplier to review any potential cost saving opportunities across the portfolio. Key Skills / Qualifications needed for this role Estate Management experience, either working for a large corporate occupier or in the management department of a surveying practice RICS qualified (desirable) Detailed knowledge and understanding of Corporate Real Estate and Asset Management. Knowledge of landlord and tenant law Highly organised and self-motivating with strong attention to detail Excellent communication and problem solving skills Demonstration of the highest level of integrity and the ability to achieve successful customer outcomes.
