The Pathogen Mission highlights EIT's transformative approach, using Whole Genome Sequencing (WGS) and Oracle's cloud technology to create a global pathogen metagenomics system. This initiative aims to improve diagnostics, provide early epidemic warnings, and guide treatments by profiling antimicrobial resistance. The goal is to deliver certified diagnostic tools for widespread use in labs, hospitals, and public health.

We are seeking a confident and experienced Senior Administrator to join our team, working within the Pathogen Programme. In this role, the Senior Administrator will support the EA to the CEO with supporting the programme leadership team, including day-to-day administrative tasks, and making sure all requested tasks are done to the highest standard and with the utmost discretion. This would be an ideal role for an experienced individual who wishes to look towards training to become an EA as there is opportunity to cover the EA to the CEO during absences.
Key Responsibilities:
Administrative and Office Support:
* Assisting and supporting the Pathogen Programme leadership team with any administrative task in relation to their work. Including, but not limited to, photocopying, printing briefing papers, preparing and distributing agendas for meetings
* Maintaining physical and electronic files (ensuring easy retrieval of information)
* Manage confidential information with the utmost discretion and integrity
* Handle emails and other forms of communication on behalf of the Pathogen Programme team as required
* Booking taxis and/or other transport for conferences, events and visits
* Liaising with EIT's travel agent in regards to booking enquiries and hotels for Pathogen Leadership Team members
* Recording and submitting expenses claims
* Assisting with drawing up programmes for visitors
Meeting and event administration:
* Producing meeting agendas, minutes and follow up tasks
* Ensuring meeting rooms are in a presentable condition prior to meetings
* Escorting visitors to meeting rooms and offering refreshments
* Assisting with the connection to Zoom and Teams meetings
* Booking lunches for meetings when relevant and ensuring they are presented appropriately.
* Clearing the meeting room at the conclusion of the meeting, ensuring they are in an acceptable state for the next room occupant
* Escorting visitors to reception on the conclusion of meetings
* Supporting calendar management to help maximise leadership team time
Absence Cover
* In the absence of the EA, to be able to assist with the management of the CEO's and Principal Scientist's diaries. Ensuring appropriate prioritisation of meetings and events
* To assist the EAs of any other member of the Senior Leadership team during busy periods or absences
Requirements
Essential Knowledge, Skills and Experience:
* Proven work experience as an administrator. This role may suit someone who is looking to take a step-up in their administrative career or who is looking to eventually advance to an EA role
* Knowledge of Microsoft Word, Excel, Power-point and Outlook
* Good verbal communication skills
* Excellent written English with good attention to detail
* Self-starter and focused
* Discretion and confidentiality are paramount
Desirable Knowledge, Skills and Experience:
* An interest in science
* Enthusiasm for beneficial global impact
* Competent in the use of technology and learning new IT packages

Terms of Appointment:
* You must have the right to work permanently in the UK with a willingness to travel as necessary
* This role requires you to be fully office based at our Oxford office therefore it is essential that you live in, or within easy commuting distance of, Oxford
* During peak periods, some longer hours may be required and some working across multiple time zones due to the global nature of the programme
