The Role As a University receptionist, you will be the welcoming face and voice of the University playing a vital role in creating a positive first impression for students, colleagues, and visitors. Your exceptional interpersonal skills and warm demeanour will ensure that everyone feels valued and supported when they step into the University. The working hours alternate weekly between two schedules: Monday, Tuesday, Thursday, and Friday: Week 1: 7:15 AM – 3:30 PM (45-minute lunch) Week 2: 10:45 AM – 7:00 PM (45-minute lunch) Wednesdays and break weeks: Week 1: 7:45 AM – 4:00 PM - (45-minute lunch) Week 2: 10:15 AM – 6:30 PM - (45-minute lunch) This role may occasionally involve supporting out-of-hours events. Key Responsibilities: Welcome all visitors, students, and staff in a friendly and professional manner. Handle incoming calls, redirect them appropriately, and respond to inquiries. Provide general administrative assistance, including managing emails, scheduling meetings, and supporting Students and all the University visitors and colleagues. Assist students with inquiries related to course information and all campus facilities, and general academic information. Direct them to the appropriate departments or resources as needed. Ensure all visitors sign in, issue visitor badges, and inform relevant staff of their arrival. Maintain a secure and organised reception area. Maintain up-to-date knowledge of campus events, academic schedules, and institutional policies to provide accurate information to students and visitors. Collaborate with various departments to facilitate smooth operations, handle room reservations, and manage equipment lending. Be aware of emergency procedures and safety protocols, assisting in evacuation drills if necessary. Skills and Qualifications Proven experience as a receptionist or in a similar customer-facing role is preferred. Excellent verbal and written communication skills Strong interpersonal skills and the ability to interact effectively with individuals from diverse backgrounds. Multitasking abilities to handle various responsibilities efficiently. Proficiency in using office software (e.g., MS Office Suite) and basic computer skills. A proactive and positive attitude with the willingness to go the extra mile to assist others. A strong commitment to maintaining confidentiality and professionalism.
