NES Fircroft are currently recruiting a Quality Document Management Assistant on behalf of ConocoPhillips at their Wynyard office in Teesside. This is a long-term (3+ years) contract working 22.5hrs per week.
The ConocoPhillips Norsea Terminal, located in Teesside at the mouth of the river Tees, is a crude oil reception, processing, storage, and trans-shipment installation. The terminal also fractionates natural gas liquids into ethane, propane, and butane.
Document Management Assistant:
Reporting to the Process Safety Engineer Leader, the candidate will provide document management support and assistance to the HSEQ Department and the wider organisation. The role is offered on a part-time basis (22.5 hours per week).
1. Organise, manage, and track the flow of documents between various departments and any relevant external parties.
2. Ensure that all document versions are accurately recorded, with the latest version easily accessible while maintaining a history of previous versions.
3. Distribute documents to relevant stakeholders (e.g., project teams, clients, vendors), ensuring timely access to critical information.
4. Maintain both physical and electronic filing systems for easy retrieval and long-term storage, adhering to organisational or regulatory retention policies.
5. Review documents to ensure accuracy, completeness, and compliance with company procedures or regulatory standards.
6. Ensure that documentation processes follow company policies.
7. Prepare for internal and external audits by ensuring that all documentation is up-to-date, properly filed, and accessible.
8. Assist in the management & development of document control systems.
Required Experience:
1. Ensures that all documents are accurate and compliant with standards.
2. Capable of managing large volumes of documents while maintaining efficient filing systems.
3. Familiar with EDMS, inclusive of SharePoint and Smartplant. Knowledge of Workflow systems would be advantageous.
4. Ability to liaise between departments and external parties, distributing documents effectively.
5. Able to prioritise tasks and meet deadlines.
6. Similar working experience in the oil & gas industry or other regulated industry.
7. Hold a Full UK driving licence and to drive company vehicles where appropriate.
8. Demonstrate effective interpersonal skills.
9. Ability to use Microsoft packages and SAP.
