Our client is a looking for a Project Support Officer (Urgent and Emergency Care) to join their team on a fixed term contract until March 2025. This is a hybrid role with 2-3 days in their office in Marylebone, Central London. It is responsiblefor planning, managing the healthcare budget, and arranging healthcare services in NW London. The vision is to reduce inequalities, improve health outcomes, and reduce health disparities across the entire population of North West London. Job Summary: Working closely with other programme and team colleagues, you will be expected to: provide support to the programme of work being undertaken; ensure effective, high-quality project support, minute taking and action recording; actively engage and work collaboratively with colleagues and partners. In order to meet personal development objectives and programme requirements, programme alignment may change over time. All programme team members will be expected to work flexibly across the teams as and when required, and the Directorate requires and actively encourages cross-working. Key Duties and Responsibilities: Provide high quality project and programme support including information and analysis. Provide high quality support to the team to ensure that tasks and activities are planned, managed and delivered effectively. Attend and coordinate meetings, providing administration support including forward agenda planning, coordination of meeting papers, preparation of papers and presentations for meetings, taking comprehensive minutes, notes and actions, ensuring actions are chased and feedback received prior to future meetings taking place. Engage and work collaboratively with internal and external colleagues and stakeholders. Assist in updating and maintaining key documents (using full suite of Microsoft Office tools) including presentations, programme risk and issue logs, risk reports, progress reports, dependency logs, action logs. Organise and participate in relevant internal and external working groups/projects, services, and initiatives to provide administrative support. Build and maintain effective internal and external stakeholder relationships where appropriate. Participate in the identifying and instilling of best practice, processes and systems and engage in an environment of continuous improvement and innovation. Promote a culture that embraces equality and strives continuously to reduce inequality in both access and outcomes for all NW London residents. Undertaking additional duties as requested. Functional Responsibilities: Key Working Relationships Maintain constructive relationships with a broad range of internal and external stakeholders. Participate in relevant internal and external working groups/projects, services and initiatives to provide information and administrative support, Develop and implement data collection systems that will provide accurate and timely data. Liaise with colleagues to share best practice. Project Support Provide coordination of and participate in relevant internal and external working groups to provide administrative support. Provide comprehensive minute taking and management of actions. Management of meeting schedule and forward planner to set agenda and liaise with meeting chairs and other stakeholders. Management of timely circulation of meeting notes and other papers. Provide relevant and timely prompts on outstanding actions and key timelines within projects/function. Provide a risk and issues tracking mechanism, maintaining proactive resolution and escalation processes. Information Management Support Ensure timely and accurate information analysis and reporting to management on agreed areas of work. Research and Development Contribute to the development of key performance indicators for the successful assessment of individual and work stream success. Delegate aspects of Research and Development activities, collating information, analysing and reporting findings. Planning and Organisation Contribute to the strategic planning of Team projects, identifying interdependencies across projects/functions, potential impacts on wider organisation, resource requirements and building in contingency and adjustments as necessary. Contribute to the development of performance and governance strategies and the development and implementation of improvement programmes, in accordance with organisation and Collaboration priorities. Contribute to short, medium and long term business plans, achieving quality outcomes. Policy and Service Development Contribute to the review and development of existing information management systems and contribute to the development of an integrated approach to, service or initiative management. Develop policies and procedures in own work function with an impact on the wider organisation, as required.
