Job Purpose
To provide efficient and effective receptionist duties for all offices across Merseyside including offering general advice and dealing with internal and external queries.
Key Duties & Responsibilities
1. Answer and screen calls, always delivering a positive client experience.
2. Greet all visitors, welcoming them to Carpenters Group.
3. Manage the internal diary system for all meeting rooms.
4. Deal with meeting requests, allocating appropriate meeting rooms.
5. Manage reception email inbox redirecting to correct departments.
6. Ensure rooms are always presentable and set out in accordance with meeting requests.
7. Arrange lunch orders for meetings.
8. Arrange transport for external clients.
9. Provide daily visitor information to Management Team.
10. Input client satisfaction questionnaires.
11. Act as a liaison point for clients and colleagues.
12. Any other ad-hoc duties required supporting Facilities.
13. Ensure all principal accountabilities related to the role are being satisfied.
14. Deal with all matters in an efficient manner and with a pro-active approach.
Experience & Knowledge
1. Previous experience working in a busy environment, answering a high level of calls.
2. The ability to create and foster a pro-active culture to raise efficiency and productivity.
3. Good IT skills with a sound working knowledge of Solcase or a similar case management system and essential MS Office knowledge.
4. Excellent time management and organisational skills, with a calm and methodical approach to work, and a flexible and adaptable attitude to resolving issues.
5. Excellent communication and interpersonal skills.
6. Be able to ask clear and precise questions of the customer to ascertain the nature of the call.
7. The ability to work as part of a team or on own initiative.
