Northern Healthcare is a growing enhanced mental health supported living company dedicated to making a positive impact on people's lives. We are looking for a Regional Operations Administrator to join our team and support various operational functions within our services, ensuring high standards of compliance, financial management, and stakeholder coordination. The role will encompass various tasks and will focus on several key objectives designed to help streamline operations and support our service managers (SMs).
Objectives:
Finance:
* Month-End Management: Review and enhance the current training materials for SMs to manage month-end financials effectively.
* Budget Management: Develop training packages to help SMs understand and manage their budgets.
* Aged Debt Reduction: Collaborate with Operations and Finance teams to establish an aged debt overview for each service and work on reduction strategies.
* Monthly Tracker: Create a tracker for outstanding debt, personal welfare savings (PWS), and related actions.
* Budget Oversight: Develop a spreadsheet that allocates quarterly budgets for each service, tracking expenditure categories and year-to-date (Y2D) figures to forecast potential overspending and recovery options.
* Regional Financial Overview: Create a regional overview of budgets and Y2D financials for senior management.
Quality & Compliance:
* Compliance Reporting: Develop a monthly compliance report for services and regions, including action plans for ensuring 100% compliance, while identifying repeat offenders.
* Audit Dashboard: Create a dashboard to visually represent compliance on audits, providing real-time insights.
Rota Management:
* Rota Oversight: Monitor rotas for potential shortfalls and work with Regional Operations Administrators (ROAs) across regions to review cross-regional coverage.
* Agency Usage Monitoring: Develop a system to track agency usage, problem-solving weekly, and create a reduction plan for review with the Regional Operations Manager (ROM).
Stakeholder Management:
* Site Visits: Organize and attend site visits across regional services to understand the needs, priorities, and management styles of each SM.
* Cross-Regional Communication: Establish strong communication lines with other ROAs to ensure consistency and cross-cover between regions.
* Performance KPI Dashboard: Collaborate with HR to develop a KPI dashboard to review performance targets on a monthly basis.
General Administrative Duties:
* On-Call Rota Management: Oversee the on-call rota by managing SMs’ annual leave, creating an on-call schedule, and submitting it to the ROM for review before publishing.
Skills & Experience Required:
* Strong organizational and administrative skills
* Proven experience in budget management and financial tracking
* Excellent communication and stakeholder management skills
* Proficiency in developing reporting tools and dashboards (Excel, financial software, etc.)
* Experience working in a cross-functional role with finance, operations, and HR teams
* Problem-solving ability and a keen eye for detail
