Dalkia UK have a great opportunity for a full-time, permanent Reactive Maintenance Scheduler to join our friendly team.
You will be based out of our Manchester office 2 days a week, the other days working from home.
Hours of work:
40 Hours Monday to Friday in a hybrid working model. You must be able to work in the Manchester office a minimum of 2 days a week.
Responsibilities:
* Provide a single point of contact for technical staff, support staff and management with regards to planning and completion of Reactive Maintenance based work orders.
* Prioritise and issue Reactive Maintenance Work Orders, assigning to appropriate resource using CAFM systems.
* Follow quality assurance procedures and protocols as advised by line manager.
* Raise Purchase Orders for both internal and external resources to effectively manage the workload, including subcontractors, and suppliers of materials and equipment.
* Liaise with Mobile Technicians and site based Caretakers/FM’s to plan and manage workload and maintain records accordingly.
* Ensure all records and reports are received post work completion, chasing as required and filing in a manner advised by Line Manager and in line with agreed procedures.
* Monitor Reactive Tasks for assigned contracts, providing update reports as directed.
* Utilise the Remedial Events tracker ensuring correct input and closure of events providing reports as directed by line manager.
* Utilise dashboard reports for effective jeopardy management.
* Effectively plan works to ensure SLA’s and KPI’s are met, escalating high-risk items in line with guidance documents and agreed procedures.
* Undertake day-to-day administration in association with the Help Desk Facility and as directed by the Customer Services Team Leader.
* Act as a central source of information dealing directly with customer queries and planning.
* Undertake and follow-up actions needed to resolve situational circumstances for which you have been pre-authorised to undertake.
* Liaise with Operational Management team to ensure effective communications through the delivery process.
* Liaise with 3rd Party Service Providers to ensure effective communications through the delivery process.
* Understand and participate in the Commercial Process as part of Work Order delivery.
Requirements:
The knowledge, skills, qualifications and experience relevant to the position are:
Essential:
* GCSE (or ‘O’ Level equivalent) passes in Maths and English or recognised equivalent.
* A typing speed of at least 50 words per minute (wpm).
* Experience in a similar role with a background in Facilities Management administration.
* Competent knowledge of CAFM and associated systems.
* Proven track record of working towards SLA’s/KPI’s.
* Previous experience in labour resource planning and/or building engineering systems.
Desirable:
* ‘A’ Level passes or recognised equivalent.
* Experience with computerised Planned Preventative Maintenance (PPM) systems and procedures.
