Divisional Archivist Job Advert
2x permanent posts available – 18.5 hours and 7 hours per week (pro-rata)
An opportunity has arisen for a bright, enthusiastic, person with good interpersonal and relational skills to join the Wiltshire Police, Criminal Justice department, as a part-time Archivist. The role is based at Swindon with a requirement to at times work at either Melksham or Salisbury. A work vehicle can be used when available. There may be a opportunity to increase hours for the right candidate.
The primary role for the post holder is to be the divisional custodian for the archiving of all crime files. Also, when required, to undertake all administrative duties in respect of files and related matters within the operational support services department, ensuring that all time scales are complied with and that both local and national file standards and targets are consistently met. Some lifting and working at height is required. Training will be provided for this role.
The successful applicant will need to have the ability to work to a high degree of accuracy, problem-solve using your own initiative, communicate well with a variety of people for example, court staff, police officers and partner agencies, and be competent in the use of computers, particularly Microsoft Word, Excel and Outlook.
The Police Service has recently been the subject of significant changes brought about by local and national requirements. This is likely to continue, and you will be expected to be able to adapt and change as these arise within a flexible environment.
Applicants must hold a full driving license and will be expected to maintain high standards of confidentially and discretion. If successful, the post-holder will be subject to security vetting and on appointment, completion of a 20-week probationary period.
This department works Monday to Friday during office hours, with the opportunity for flexible working. Due to there being two opportunities available, please state when which post you are applying for in your covering letter.
What you will be doing
Prioritise and manage all incoming and outgoing work while adhering to deadlines to ensure day-to-day activities are completed in a timely manner.
Review crime files submitted for filing to ensure all matters are completed and dealt with.
Use Police National Computer (PNC), Niche RMS (Record Management System), and FDS (Force Data Search) to check the completeness and accuracy of the files.
Ensure corresponding data is accurate and all tasks are completed before archiving and file movement (via Niche, Historic FDS system, or legacy file spreadsheets for pre-1997 files).
Identify and address anomalies by contacting officers or relevant departments.
Strip files once completed, making risk-based decisions on which paperwork to retain or destroy.
Where necessary, remove and action Evidential Property forms and green Digital Evidence forms and pass them on to the relevant departments.
About you and your experience
Ability to prioritise tasks effectively and manage multiple responsibilities simultaneously.
Strong attention to detail and ability to follow complex processes.
Ability to meet deadlines and manage time efficiently in a fast-paced environment.
Knowledge of data management, file storage, and electronic file movement protocols.
Essential knowledge and experience in Microsoft Windows Software.
Desirable experience in the usage of Niche, PNC and legislation around GDPR.
