Summary
This is a broad and varied role that will suit someone who is highly organised, has great attention to detail and enjoys driving forward improvements. The PMO Analyst organises the activities of the Project Management Office to ensure the successful delivery of projects. This role is responsible for maintaining project management governance processes, organising project resources, and ensuring alignment of projects with organisational goals. The PMO Analyst will support delivery leads, facilitate project governance & assurance, and contribute to the continuous improvement of project management practices across the organisation. In addition, the role holder will be involved in the management of internal systems and processes and in delivering internal improvement and compliance projects.
Responsibilities
1. Project Support & Coordination:
* Assist in the preparation and maintenance of project plans, schedules, and timelines.
* Provide administrative support to delivery leads, ensuring all project documentation is up to date.
* Coordinate resources and schedules across multiple projects.
* Track project milestones, deliverables, and key performance indicators (KPIs).
2. Project Reporting & Documentation:
* Support the creation of regular project status reports and presentations for stakeholders.
* Help develop and maintain project dashboards, ensuring stakeholders have up-to-date and accurate information.
* Ensure all project documentation is standardised, organised, and easily accessible.
3. Risk & Issue Management:
* Track and report on risks, issues, and action items.
* Assist in the development and implementation of mitigation plans for project risks.
* Maintain a portfolio risk register and ensure issues are being addressed promptly within projects.
4. Process Improvement & Governance:
* Assist in the development and improvement of PMO processes, tools, and templates.
* Help ensure that projects are following the PMO's governance framework, methodologies, and best practices.
* Promote consistency in project management approaches across the organisation.
5. Resource Management:
* Support resource allocation, ensuring project teams have the necessary skills and capacity.
* Assist in the tracking of resource utilisation across projects.
6. Stakeholder Communication:
* Support effective communication between project teams and key stakeholders.
* Assist in organising and coordinating project meetings, including preparing agendas, minutes, and follow-up actions.
* Help manage stakeholder expectations through timely and accurate project information.
7. Data Analysis & Reporting:
* Analyse project performance data and generate insights for management to help make informed decisions.
* Maintain and report on project portfolio status, highlighting risks, delays, and financial performance.
8. Operational Support
* System administration of internal business systems.
* Organisation of relevant equipment and logistics.
* Contribute to the management and maintenance of ISO 27001 compliance and certification.
* Contribute to the management and maintenance of Cyber Essentials certification.
* Lead on internal improvement projects and initiatives.
Requirements
* PMP (Project Management Professional), Prince2 or other Project Management certifications are a plus.
* 1-3 years of experience in project management or PMO support roles.
* Familiarity with project management software (e.g., Microsoft Project, Jira, Trello, Asana). would be useful.
* Data analysis and reporting.
* Familiarity with professional service automation tools (e.g., Kantata OX, Polaris or similar) and CRM software (Salesforce, Hubspot) would be useful.
* Knowledge of project management methodologies (e.g., Agile, Waterfall).
Hybrid. Option to work from one of our offices, or to work mostly remotely, attending the office for business needs.
