Role Overview
An opportunity has arisen for a passionate Customer Service Advisor to join our amazing team in Newcastle. The hours for this role are between 8am and 8pm on a rota basis Monday-Sunday.
Our Customer Service Advisors are a key part of the team, being the first point of contact for customers, colleagues, clients and suppliers, dealing with enquiries in person, over the phone, by email or live-chat. We are looking for someone who is committed to providing a first-class service every time, always looking for opportunities to go the extra mile.
As a Customer Service Advisor, you will deal with general enquiries, provide advice, process incoming mail and parcels, handle sales enquiries including viewings, follow-up calls, etc., and provide administrative support as required. This is a busy and fast-paced role, so you will need to be well organized and able to prioritize multiple tasks.
Job Description
RESPONSIBILITIES, DUTIES AND TASKS
1. Greet and welcome internal customers, visitors, contractors, and clients at reception.
2. Work closely with the site team providing a one-stop service to all tenants, visitors, and staff.
3. Respond to all enquiries in a courteous and professional manner at all times providing information and advice when required.
4. Deal with maintenance requests, ensuring key information is recorded, and ensuring good communication with the customers at all times.
5. Assist in maintaining the security of the property through allocation of keys and the electronic access control system.
6. Proactively handle new enquiries and encourage sales by way of viewings and follow-ups.
7. Assist and support all sales and marketing activities including social media activities.
8. Encourage customers to re-book and advise of the rebooking process.
9. Work as part of the team to coordinate and promote the social engagement programme.
10. Maintain accurate records on the tenancy management system.
11. Provide admin support for the purchase order system including chasing contractors and suppliers for invoices.
12. Chase for rent and debt payments to ensure quick intervention.
13. Receive and sort daily post, parcels, and deliveries.
14. Provide administrative and clerical support.
15. Ensure the reception and public areas are always kept tidy and presentable.
16. Archive site files and log historic data on the system.
17. Have a thorough knowledge of the property, its layout, services provided, its policies and procedures, and its key personnel.
18. Work outside of normal working hours as and when required (to cover key Check-In Day/Open Days, etc.).
19. Promote the site at open days and accommodation fairs where required.
20. Attend any training courses where necessary for professional development.
21. Work as part of the team to ensure targets and Key Performance Indicators are met.
22. Undertake health and safety duties commensurate with the post and as detailed in the Company’s Health and Safety Policy.
23. Act as an ambassador of the Company and promote the company brand; displaying a positive image to customers and members of the public at all times.
For this role, personality is more important than qualifications; however, it is desirable that the post holder has the following qualities:
1. Strong understanding of what constitutes excellent customer service.
2. Ability to use and act on own initiative without instruction or direction.
3. Able to work accurately and effectively under pressure.
4. Experience in a sales environment face to face, via phone, or via email.
5. Analytical and problem-solving skills.
6. Good verbal and written communication.
7. An up-to-date knowledge of popular social media platforms including Facebook, Twitter, and Instagram.
8. Strong IT skills including Word, Excel, and Outlook.
