Description Job Purpose: The Investment Managers' Assistant plays a crucial role in supporting investment managers with a wide range of administrative and organisational tasks. By providing accurate and efficient services, the assistant helps maintain strong relationships between investment managers and their clients. Key Responsibilities: Provide comprehensive administrative support to a team of investment managers handling discretionary and advisory clients. Assist with the administration of portfolios and client records, handle client queries, and liaise with the Operations department. Maintain the cleanliness and organisation of the office. Process incoming and outgoing mail, including DX and Royal Mail, and manage the franking machine. Ensure the office is stocked with necessary stationery and marketing materials. Answer and transfer phone calls, take messages, and record telephone notes on client files. Maintain various logs, including Health & Safety, Financial Promotions, Safe, and Complaints logs. Complete dictation transcriptions and handle scanning, shredding, and photocopying tasks. Prepare and provide documentation for meetings and potential new clients. Support client suitability processing by providing necessary management information (MI). Ensure valuations are produced and dispatched to clients within regulatory timescales. Promote compliance culture and adhere to all regulatory requirements. Identify and implement ways to improve efficiencies. Keep client information up to date and assist in producing client suitability reports. Communicate directly with clients and intermediaries such as solicitors and accountants. Monitor the progress of new investments and address any issues that arise. Liaise with the accounts department regarding cash movements and administer payments, including currency payments. Manage client files, ensuring all information is accurate and up to date. Handle occasional special projects, such as collecting Know Your Client (KYC) information. Qualifications & Experience: Educated to GCSE level or equivalent, including Maths and English. A-levels are preferred. An industry-recognised qualification, such as an Investment Operations Certificate, is advantageous but not essential. Experience in a similar environment and a general understanding of the stock market and investment operations are preferred. Knowledge & Skills: Excellent communication skills, both written and verbal. Highly organised and numerate. Ability to work under pressure while maintaining high attention to detail and accuracy. Strong initiative in problem-solving and identifying tasks that need to be completed. A strong team player with the flexibility to adapt to different working styles. An enthusiastic, can-do attitude combined with a personable manner.
