Job Overview The Senior Duty Manager will be responsible for supervising and overseeing the shift team and shift Duty Managers, ensuring all tasks are completed to a high standard. Acting as a key support to the Site Security Manager, the Senior Duty Manager will manage daily operations, address incidents promptly, and maintain a secure and professional environment across the estate. This role requires a proactive and organised leader with strong experience in security operations, emergency response, and team management. Key Responsibilities 1. Team Supervision & Support: Supervise and oversee the shift team and shift Duty Managers, ensuring all tasks are carried out to a high standard. Provide full support to the Site Security Manager in all aspects of site security and operations. Ensure all staff are trained in site procedures, relevant systems, and the Assignment Instructions (AIs). Conduct regular briefings with the team to update them on daily activities, protocols, and priorities. Oversee the shift handovers, ensuring they are completed to a high standard and contain accurate information. Operational Oversight: Ensure requested diary entries are documented, and emails are addressed promptly by the Back of House (BoH) team. Conduct regular building patrols, addressing any faults or issues identified during sweeps. Complete at least two proactive sweeps daily to identify risks and demonstrate leadership. Oversee incident report (IR) completion, ensuring reports are thorough and submitted within the required timeframe. Manage resources effectively, ensuring tasks are prioritized and all areas are adequately covered. Security Monitoring & Incident Management: Respond to and manage incidents, including fire alarms, medical emergencies, and bomb threats. Oversee CCTV monitoring and ensure appropriate actions are taken as required. Ensure compliance with incident management protocols, escalating and reporting incidents per established procedures. Monitor fire alarm and security systems, relaying critical information promptly. Compliance & Reporting: Ensure the accurate completion of logs and reports, including the MyTAG daily occurrence log and incident reports. Maintain the isolations log and ensure printed hard copies are properly filed. Submit regular updates and feedback to the Security Manager and estate management, including weekend bullet points and contractor updates. Conduct regular audits on key management, lost and found, health and safety checks, and lockdown testing. Shift & Resource Management: Manage rotas, ensuring adequate staffing levels and arranging additional cover as required. Ensure security team members are in the correct positions, dressed appropriately, and adhering to scheduled shifts. Oversee break coverage, ensuring positions are covered and service standards maintained. Supervise the Duty Managers to ensure compliance with their responsibilities and smooth daily operations. 2. Training & Development: Provide training and guidance to team members, ensuring their readiness for all site procedures and systems. Conduct appraisals and encourage professional development within the team. Organize and lead security drills, such as fire evacuations and lockdown training, documenting outcomes appropriately. Assist in the delivery of Tool Box Talks and other training initiatives. 3. Emergency Response: Lead the team in responding to emergencies, ensuring adherence to protocols and maintaining clear communication. Act as the primary decision-maker during incidents, liaising with emergency services as required. 4. Collaboration & Customer Service: Work closely with other service providers to achieve shared client goals through a "one-team" approach. Provide a professional, polite, and prompt service to clients, addressing complaints and queries effectively. Foster positive relationships with stakeholders, keeping them informed of relevant updates. Key skills & Qualifications Minimum of 3 years' experience in a security environment with supervisory/management experience. Proficient in Microsoft Excel and Word; familiarity with Access Control and CCTV systems. Practical experience with emergency preparedness, response procedures, and incident management. Strong leadership and organizational skills with the ability to manage teams effectively. Excellent communication skills, both written and verbal. Ability to remain calm and professional under pressure, particularly in emergency situations. Strong attention to detail and ability to deliver results to a high standard. Key Working Relationships: Collaborate with the Site Security Manager and estate management team to ensure smooth operations. Build positive relationships with the estate's service providers, clients, and other stakeholders. Foster a collaborative and professional work environment, emphasizing teamwork and accountability. Additional Requirements: Willingness to work flexible hours, including weekends and on-call as required. Maintain a professional appearance and ensure team members meet uniform and grooming standards. Act with integrity, professionalism, and a strong work ethic at all times.
