Job Responsibilities:
1. Deal with enquiries, including telephone enquiries in conjunction with and under the direction of nursing staff.
2. Manage the SALUS system as a working real-time system.
3. Maintain hospital notes in accordance with the Plymouth Hospitals NHS Trust policies.
4. Enter admissions and discharges on iPM, including ward transfers, clinical transfers, and specialty transfers while updating patient information as necessary.
5. Ensure that the bed state is kept up to date on iPM.
6. Commence paperwork as appropriate on patient admission, including new front sheets and labels.
7. File reports, ensuring they have been seen and initialed by medical staff.
8. Ensure availability of case notes (including investigation reports) for all admissions.
9. Obtain notes from other departments using the computerized tracing system.
10. Trace notes in and out of the ward using the computerized tracing system.
11. Ensure notes are in order when patients are transferred.
12. Liaise with other departments and secretaries regarding referrals, appointments, and investigations, updating iPM as per Trust Policy.
13. Notify GP of patient death.
14. Enter and process admissions into the ward diary for waiting list admissions and general booked admissions.
15. Keep the ward desk area tidy and free of clutter.
16. Maintain tidiness in the ward offices and replenish stationery.
17. Distribute and redirect mail.
18. Order supplies from ERPROC as requested by nursing staff and follow up on outstanding requests for repairs.
19. Prepare admission packs as appropriate.
20. Utilize the VDU for clerical and identification purposes.
21. Photocopy and fax when required.
22. Work closely with medical staff and other members of the disciplinary team.
23. Integrate into the departmental team and relate effectively to patients and families.
24. Add patients to the follow-up waiting list and book follow-up outpatient appointments.
25. Perform other duties as allocated by the Ward Manager.
