Job summary We are looking for an enthusiastic, caring, empathetic person to join our well established Reception team in a busy GP surgery in Deal. The ideal candidate would be proficient in the use of IT, be well spoken and have an understanding of the need for confidentiality. Main duties of the job The role includes greeting patients and visitors, answering the phone, signing patients in, making appointments, handling and processing requests for repeat prescriptions, keeping records up to date, filing documents, processing requests for home visits and many more. COMPUTER. Sorting out computer problems, sometimes contacting the Help line if necessary. Scanning letters and medical reports onto computer. 2. REPEAT PRESCRIPTIONS Handling and processing requests for repeat prescriptions. 3. OFFICE Informing patients of their test results if normal and recording information passed to patient on computer Putting a patients change of address, telephone number or name on paper notes and computer. Make cups of coffee / tea when required. Inform Dr of any requests for any home visits in Day Book according to the protocol. Enter any messages for the Doctor in the Day Book. Type letters as requested. Administration of petty cash. Re-order stationery when required. 4. Attend practice meetings where required. 5. Sorting and routing of external mail, as well as date stamping mail. 6. Greet patients and visitors to the practice. 7. At the beginning of the day unlock the surgery and turn off the alarm system. At the end of the day to lock up the surgery and set the alarm system. 8. Respond and/or redirect all patient and visitor requests accordingly. 9. Ensure computerised appointment system is up-to-date. 10. Booking, amending and cancelling patient appointments. 11. Set-up of new patients onto the computer system in-line with protocol. 12. Once daily check that the consulting rooms are clean and tidy, as well as checking that there are adequate examination gloves, forms etc,. If the cleaner is away you may be required to undertake some surgery cleaning. 13. Answering incoming telephone calls, ensuring calls are redirected accordingly. 14. Ensure fax machine is operating correctly and prior to close of Practice in the evenings/weekends adequate paper supply in place. 15. Ensure answering machine service for out of hours information is directed appropriately switched to answer machine at close of practice and back to surgery each morning. 16. Ensure up-to-date maintenance of both computerised and manual filing systems (i.e. patient notes). 17.
