Manage publishing systems
* Act as a key liaison point between the editorial management system, production systems, and other publishing technology suppliers and business teams (both internal and external), ensuring a clear understanding of Cochrane’s needs and objectives.
* Ongoing management of internal publishing technology and processes and external publishing technology system vendors, including reviewing processes and performance, implementing changes, providing technical guidance and supporting the creation of documentation. Manage vendor performance and oversee quality control; manage vendor dashboards and report on performance against service-level agreements.
* Manage internal dashboards for editorial and publishing systems and report on performance against agreed metrics and target turnaround times, as requested by the Deputy for Editorial Operations.
* Oversee business-as-usual publishing activities, including daily publishing reports and tasks, troubleshooting any errors, and management of embargoed and/or high-priority publications (in coordination with Communications team).
* Act as second-line support for the Cochrane Support team on complex support queries involving the editorial management system or publishing technology, responding to tickets in the Cochrane Support Helpdesk in accordance with agreed SLAs.
Work with Wiley and their technology teams to analyse and resolve complex technical problems and roadblocks around publishing workflows, XML processing, data and systems access.
* Manage systems and processes related to open access publishing, licences for publication, copyright, and access permissions to Cochrane Library.
Refine and improve processes and systems
* Understand operational workflows and systems architecture, identify and define systems needs to enable operational scaling, and drive the development and deployment of these systems.
* Identify and implement improvements to production and operation processes, workflows or systems that would lead to increased reliability and efficiency.
* Identify upcoming developments on the vendors’ product roadmaps that would be of benefit to Cochrane and oversee their rollout.
* Work with Wiley and their technology teams, and Cochrane technology teams, to conduct UAT of proposed changes involving the editorial management system and production systems to ensure that functionality works as expected.
* Work closely with the Cochrane Support team, specifically the Publishing Systems Support Specialist, to design and propose processes and systems that contribute to editorial efficiency and meet user needs effectively.
Support product innovation
* Identify and analyse systems dependencies for innovations on the Cochrane Library product roadmap and liaise with publishing technology teams to ensure any development is completed on time and on scope.
* Identify and analyse dependencies with internal technology including Cochrane’s in-house review development software (RevMan) to ensure optimal integration of Cochrane review development, editorial and publishing functionality.
* Act as subject matter expert on the editorial management system and production workflows in internal and external conversations about proposed changes that would affect submissions from submission to publication.
* Act as liaison point with the editorial policy and research integrity teams to ensure changes in editorial and publishing systems support Cochrane standards and policies.
* Facilitate collaborative decision-making and manage prioritisation processes across internal and external teams.
* Manage stakeholder expectations and communicate with internal teams and external partners to provide technical and business feedback, as well as deliver technical solutions.
* Create and maintain feedback loop between stakeholders and users, and apply a data-informed approach to refine and improve processes and systems.
Author experience
* Act as in-house author experience champion with oversight of the author journey from research proposal through to publication, working with internal stakeholders to minimise friction for authors from review initiation to publication.
* Manage author-facing documentation including Author guidelines on preparing and submitting manuscripts and instructions on submitting via the editorial management system.
* Manage communication with authors via the editorial management system including template emails to authors and linked guidance (in consultation with Head of Editorial).
Copy Editing Process
* Manage copy editing team.
* Support creation of guidance documentation for copy editing.
* Liaise with copy editing and other production or publishing service providers (when needed).
Line management
* Line manage the Publishing Systems Support Officer, Production Manager and assist with management of Cochrane Support Officers performing daily publishing tasks.
PERSON SPECIFICATION
* Experience managing contracts and service-level agreements (SLAs) with external vendors.
* Experience of peer review and production systems within scientific/society publishing.
* Experience of overseeing feature/functionality requests and change requests with external vendors.
* Strong organisation skills and ability to manage multiple projects.
* Theoretical and practical experience of change management.
* An understanding of how technology is affecting innovation within STM journal production and operations.
* Experience of working with Editorial Manager (Aries).
* Experience of working with JATs / XML.
* Experience of product development methodologies (Scaled Agile Framework, Scrum).
