Main duties and purpose of the role : Completing guest check in and check out. Completing tasks such as, investigating billing, creating cards, printing reg cards, cutting guest keys, matching correspondence, charging virtual cards and printing any pre check in information. Answering and directing calls. Assisting guests with luggage. Pre-allocating reservations. Completing personal, emergency evacuation plans with any guests needing additional support. Completing arrival checks such as traces. Assisting the reservations department, such as, creating dining, golf and bedroom bookings. Completing reservation checks. Completing arrival checks. Cash handling. Card balancing. Ensuring the Reception area is kept tidy during busy periods. Communicating with all departments daily. Answering emails. Checking extranets such as booking.com. Completing show arounds for potential event and sales bookings. Maximising guest satisfaction. Promoting the hotel. Main responsibilities of the Reception Supervisor role: In addition to completing all tasks of a Receptionist you will be responsible for the smooth running of Reception, giving additional support where needed. You will also assist the Reception Manager in additional administrative tasks. You will work as part of a team, leading by example, maximising guest satisfaction and comfort, delivering a positive and timely response to guest enquiries and problem resolution. You will ensure the Reception team meets all deadlines set by the Reception Manager. You will ensure the Reception team completes check lists and all weekly tasks set by the Reception Manager. You will ensure the first aid and fire box is kept up to date and stocked. You will ensure the back office is kept tidy and always stocked. You will attend weekly function meetings with the Reception Manager. You may attend health and safety meetings in absence of the Reception Manger. You will take responsibility for the duties and tasks assigned to the role, ensuring all work is carried out in a timely and professional manner. You will ensure communication is maintained between Reception and other departments. You will look in advance at figures, events, allocations, and upcoming business which will assist the Reception Manager. You will ensure the department remains positive and strong whilst promoting the company’s culture and values. Greet guests and visitors warmly, making them feel welcome and attended to. Receive and redirect mail, phone calls, packages, etc. Offer restaurant and activity recommendations and assist guests in arranging transportation and excursions. Ensure that guest spaces and lobby areas are always clean and tidy. Act as a liaison between guests and any department necessary including the kitchen, housekeeping, etc. Assisting the reservation department with taking reservation and completing reservation checks. Once you have completed training you will be expected to complete early and late Duty Manager shifts, dealing with guest complaints and feedback. As part of the supervisor team, you will complete sleep in Duty Manager shifts.
