Role Overview
The Administration Assistant will provide essential administrative support to the Service Desk, Sales, and Project Teams, ensuring smooth operations and effective coordination. This role requires exceptional organizational skills, attention to detail, and the ability to multitask in a dynamic and fast-paced environment. As part of a security services company, the Administration Assistant will play a key role in supporting client satisfaction and internal efficiency.
Key Responsibilities
1. Administrative Support:
o Manage and maintain accurate records, documentation, and databases.
o Handle incoming communications, including emails and calls, ensuring timely responses and follow-ups.
o Prepare reports, presentations, and correspondence as required.
2. Service Desk Assistance:
o Support the Service Desk team by logging service requests and updating ticketing systems.
o Coordinate scheduling of service appointments and follow up with clients to confirm resolutions.
o Assist with tracking and monitoring SLAs and preparing performance reports.
o Assist the Sales team with preparing quotes, proposals, and contracts.
o Maintain client information and sales records in the CRM system.
o Coordinate meetings, appointments, and travel arrangements for the Sales team.
3. Project Team Coordination:
o Provide administrative support for project planning and execution.
o Assist with tracking project timelines, deliverables, and resource allocation.
o Prepare and distribute project documentation, including status updates and meeting minutes.
4. General Office Duties:
o Maintain and order office supplies and equipment.
o Ensure smooth day-to-day office operations by liaising with vendors and service providers.
o Support other departments with ad-hoc administrative tasks as needed.
Required Qualifications and Skills
* Education: Secondary school/GCSE level; additional qualifications in administration, business, or related fields are advantageous.
* Experience: At least 1-2 years of experience in an administrative role, preferably in a customer-facing or team-support capacity. Familiarity with security services or technical environments is a plus.
* Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Experience with CRM, ticketing, or project management tools is desirable.
* Soft Skills: Excellent organizational and time-management skills. Strong written and verbal communication abilities. A proactive and adaptable attitude with the ability to prioritize tasks effectively.
* Other Requirements: Availability to work flexible hours as needed. A commitment to maintaining confidentiality and professionalism.
