Position Summary
The program clerk is responsible for providing clerical support to management and departmental staff. Working in a team-based environment, program clerks maintain a high degree of professionalism and diplomacy in dealing with the general public, staff, and outside agencies to ensure maximum customer satisfaction.
Hours of work Monday to Friday 8:30am - 4:30pm unless otherwise directed.
Position Responsibilities
1. Receive incoming calls and triage to appropriate health unit staff or programs.
2. Manage appointments, meetings, and registration.
3. Assist in coordination of workshops and events.
4. Utilize Ministry and program-related database (i.e., inputs, updates, and maintains data).
5. Type and proofread correspondence and documents.
6. Track and maintain resource program supply.
7. Revise, create, and maintain departmental forms and information sheets.
8. Support team initiatives and activities (i.e., mass mail outs, assembling kits, etc.).
9. Provide switchboard/reception relief as required.
10. Some evening hours of work may be required.
11. Provide other clerical duties/coverage as assigned by manager.
Position Qualifications
Education, Training and Experience:
1. Minimum 1 year post-secondary education in Office Administration, Executive or Medical Office Administration.
2. 1 year clerical experience.
Other Requirements:
1. Proficiency with current computer applications (Microsoft Office – Word, Excel, PowerPoint, Internet, Outlook).
2. Ability to work independently and collaboratively within an interdisciplinary team.
3. Ability to plan, organize, and prioritize workloads.
4. Ability to multitask in a fast-paced environment.
5. Skill and accuracy in data input and typing a variety of forms and documents.
6. Knowledge of medical terminology is an asset.
7. Ability to learn data management systems.
8. Successful completion of a competency test.
9. A valid Ontario Driver’s Licence, access to a reliable motor vehicle during working hours, as well as 1 million dollars in liability insurance.
10. A satisfactory vulnerable sector police clearance.
11. Ability to meet physical demands of position.
12. TB skin test and immunization policies must be adhered to.
13. Ability to speak a second language considered an asset.
This position includes the option of hybrid work, whereby employees may be able to work remotely or from the office, based on departmental needs, job duties, and personal work preferences. The successful candidate must reside within the province of Ontario and must be available to attend the office upon request.
