A fantastic opportunity for an Executive Assistant/Office Manager to join a dynamic, fast-paced and growing digital marketing agency.
We are seeking an experienced Executive Assistant/Office Manager to work with and support our CEO, Directors, and senior management. The ideal candidate should have excellent interpersonal skills and experience working in a senior administrative capacity. We are looking for someone who can hit the ground running.
An enthusiastic, organised, and highly motivated individual with a responsive and proactive outlook, as well as a sound understanding of the importance of confidentiality and discretion, is required.
The Executive Assistant is a key member of the team helping to support the CEO and Executive team to deliver its vision. You must be able to work proactively using your own initiative and have a sound understanding of senior administrative processes. The ability to manage your own workload, ensure information is communicated appropriately, and that enquiries are directed correctly is essential.
An understanding and willingness to support team wellbeing, ensuring a productive and supportive office environment, would be desirable, as well as experience in event management and meeting management. We regularly visit clients across the country and would need support in booking travel and meeting arrangements.
There is an opportunity to organise industry events that we host a couple of times a year, as well as regular team celebrations, liaising with venues, caterers, guest speakers, hotels, and managing the guest lists.
The role is office-based; however, there is flexibility around working hours and hybrid working.
Skills and Experience Required
* Be able to ensure a professional and consistent executive PA service to the CEO and senior management team
* Excellent organisational skills
* Ability to work independently
* Must be able to demonstrate tact, discretion, initiative, and judgment
* Be a key point of contact for all key stakeholders and therefore represent the organisation in a professional manner
* Project a professional and confident image
* Be highly proactive and will use initiative and judgment to balance conflicting deadlines
* Previous experience liaising with a diverse mix of customers representing a diverse mix of clients/industries
* A flexible approach, with the ability to adapt to changing priorities along with a commitment to your own development as well as a contribution to a culture of continuous improvement
* Competent minute taking and proofreading
* Diary management across individual and team calendars
* Event management/meeting management experience
* Fully proficient IT skills, extremely competent using Google packages
Core Tasks
* Liaising with management at all levels
* Assisting with all administrative tasks, e.g. billing reviews, client engagement and onboarding procedures, minute taking, diary management, and office management
* Ensure the smooth running of the CEO’s diary and other commitments
* Support the senior management team in providing high-quality information for the executive management meetings
* Overseeing the staff platforms for example annual leave platform, health insurance, and general team perks
* Undertake specific projects and pieces of work on behalf of the CEO
* The monitoring of actions from meetings, projects, and correspondence
* Dealing with enquiries and correspondence promptly, exercising judgment and taking immediate action if necessary, and redirecting where appropriate
* Seek feedback from key stakeholders - Executive team and other staff on a regular basis and look to identify opportunities for improvement
* Collating and producing reports for both client and internal meetings, drafting agendas, collating meeting packs
* Have excellent organisational, time management, and multi-tasking skills
* Be able to meet deadlines set and have the ability to successfully prioritise

Pay: £24,000.00-£30,000.00 per year
