An opportunity has arisen to recruit an experienced and highly motivated Clinical Team Administrator within the Community Adult Mental Health Team based at Foxrush House, Redcar, although there may be a requirement for you to work at other Trust sites. This is a permanent 37.5 hours post, Monday to Friday 9am to 5pm.
Main duties of the job
The successful candidate will be required to provide administrative duties for the Multi-disciplinary Clinical Teams and Management Team at Foxrush House. Excellent IT and organisational skills and a good knowledge and understanding of information systems are essential. Administrative experience is required along with comprehensive knowledge and experience within Microsoft Office applications.
The team operates in a busy and fast-paced environment, so the ability to work under pressure to meet deadlines with a flexible and motivated attitude is essential.
The role mainly includes day-to-day admin tasks such as organising meetings, diary management, answering calls, dealing with queries from service users and other agencies, tending to the central email inboxes, setting agendas, and minuting meetings. Some dictation is also required to support clinical staff.
Excellent communication skills, both verbal and written, coupled with proven administration skills and previous experience, are essential.
Level 3 Qualification in a relevant field or equivalent experience, or willingness to work towards Level 3 qualification in Leadership and Management, is required. Key skills/functional skills in literacy and numeracy Level 2 OR O Level (Grade C and above/New GCSE in Maths and English (Grade 4 to 9) are also essential requirements to be fully competent in the role.

Job responsibilities
Main roles include attending team huddles, arranging team meetings including agenda and minutes, monitoring shared mailboxes, making appointments, diary management, and some dictation using Bighand while liaising with other agencies.
The successful candidates must also be organised, efficient, and have the capacity to prioritise their workload while dealing sensitively with issues and maintaining confidential information.
The candidate may be asked to support the wider secretarial team, including Reception.

Person Specification
Qualifications
* Level 3 Qualification in a relevant field or equivalent experience or willingness to work towards Level 3 qualification in Leadership and Management.

Where an applicant does not have the above qualifications or is unable to provide evidence of the certification, the applicant MUST achieve the required standards during their probationary period.
* RSA Level 2 or equivalent Secretarial/administrative experience in a clinical environment.
Experience
* Experience of working in an administrative environment (diary management, filing systems, meeting coordination, minute taking, data input, collating and presenting information).
* Customer Service experience (face to face, answering calls, correspondence).
* Experience of organising and completing demands and workloads.
* Experience of setting up and maintaining administrative systems and processes.
* Experience of working autonomously and proactively.
* Experience of supporting/supervising staff.
* Experience of handling monies and working within financial guidelines.
Knowledge
* Comprehensive knowledge of Microsoft Office applications.
* Understanding of data protection and the need for confidentiality and how to maintain this.
* Knowledge of office systems and processes.
