Role Overview
The Office Administrator will be responsible for assisting the EV Division by managing day-to-day administrative tasks related to customer service, bookings, and planning. This includes coordinating appointments, liaising with customers, supporting the planning team, and ensuring the smooth running of operations. You will play a key role in ensuring customer satisfaction and operational efficiency within the Electric Vehicle divisions.

Key Responsibilities
1. Bookings & Scheduling: Manage the scheduling and booking of appointments for EV installations and services, ensuring accurate and timely coordination with customers and internal teams.
2. Customer Service: Act as the first point of contact for customer inquiries, providing information, answering queries, and resolving any issues in a professional and friendly manner.
3. Planning Support: Assist the planning team with the allocation of resources for gas and electric vehicle installations and maintenance, ensuring that all logistics are in place for a smooth process.
4. Documentation: Maintain accurate records of customer interactions, bookings, and service schedules, ensuring all information is up-to-date in the system.
5. Internal Coordination: Work closely with engineers, field staff, and project managers to ensure that all customer appointments and service requests are completed efficiently and on time.
6. Order Processing: Assist in processing orders, managing inventories of equipment and supplies, and ensuring stock levels are maintained for EV services.
7. Reporting: Prepare reports on service appointments, customer feedback, and operational performance as required by the management team.
8. Compliance & Health & Safety: Ensure that all appointments and work carried out are compliant with industry regulations and health and safety standards.
9. Continuous Improvement: Contribute to process improvements, identifying areas where customer service and internal operations can be streamlined.
What We're Looking For
1. Experience: Previous experience in an office administration role, ideally in a customer service, scheduling, or planning capacity. Experience in the electric vehicle (EV) industries is a plus.
2. Organisational Skills: Strong organisational skills with the ability to manage multiple tasks and deadlines in a fast-paced environment.
3. Attention to Detail: High level of accuracy in managing bookings, data entry, and customer communications.
4. Communication Skills: Excellent verbal and written communication skills, with the ability to liaise effectively with both internal teams and customers.
5. Customer-Focused: A friendly and approachable attitude with a strong commitment to delivering exceptional customer service.
6. IT Skills: Proficiency with office software (e.g., Microsoft Office Suite) and experience with customer relationship management (CRM) systems is desirable.
7. Problem-Solving: Ability to resolve issues quickly and effectively while maintaining a high level of customer satisfaction.
8. Team Player: A collaborative approach to working with colleagues in planning, customer service, and field teams.
