We are looking for an experienced, forward thinking and confident Executive Assistant to support Sopra Steria's Company Director, for a 12-month FTC covering a period of parental leave. No two days will be the same and you will have plenty of opportunities to get involved in various projects with the wider team alongside your daily responsibilities. You will be providing high level, confidential administrative support. You will be key to ensuring that they make the best use of their time and have the information they need to succeed. Working closely with other Executive Assistants within the businesses, you will find you have your own virtual team supporting you! You will work remotely, however ideally you would be able to travel into the Newport office as and when required. What you will be doing:
* Attending meetings to record actions and notes
* Producing accurate and visually engaging PowerPoint presentations for use at meetings as needed
* Scheduling appointments, co-ordinate travel and accommodation arrangements and produce itineraries that optimise the use of the Director's time and minimise cost
* Co-ordinating the arrangements for internal and external meetings, passing relevant paperwork and background information to the Director in advance
* Following up and track progress of meeting action items, as requested by the Director, to make sure agreed actions are implemented within the given periods
* Administering expenses and invoices, as required, in an accurate and timely way
* Making sure relevant information is held for the Director and is easily accessible
* Using Microsoft Excel to collate data and update reports, as instructed by the Director or their direct reports
What you'll bring:
* Significant experience of working as a PA/Exec Assistant in a busy, fast moving work environment
* Working knowledge of Word, PowerPoint and Excel
* Strong written and verbal communication skills
* Ability to work with minimal supervision and to use own judgement to resolve problems
* Effective planning and organisational skills
* Strong interpersonal skills with the confidence to attend meetings and communicate with senior managers on the Director's behalf
* Effective analytical skills in order to interpret and draw conclusions from data and information
It would be great if you had:
* Experience of supporting a team at a senior level
* Advanced excel skills - e.g. V-lookups & Pivot tables
