Job Description
This role is responsible for ensuring the smooth operation of the Company’s office, general facilities maintenance, health & safety and governance. The successful candidate will be based in our Ipswich office.
Key Tasks
1. Ensure visitors sign in and out and have required visitors pass
2. Manage any deliveries and ensure they go to correct employees if required
3. Ensure all consumables are stocked
4. Order general supplies for the Company
5. Organise travel and accommodation
6. Book catering for internal and external client meetings
7. Manage Ipswich office car parking
8. Answer the telephone and direct calls as required
9. Perform housekeeping duties including setting up refreshments for internal meetings and washing up
10. Support offshore procurement team for all Ipswich office related purchases
11. Manage Site Security & own Manual
12. Manage access control system, creating and deactivating all passes
13. CCTV Management and Monitoring
14. Ensure general outside maintenance, ensuring all pathways and accesses to building are clear and free of risk
15. Schedule contractors for major repairs as required
16. Liaise with external suppliers (i.e. security alarms, vending and building maintenance)
17. Discuss maintenance concerns with the employer and communicate these to Maintenance Workers
18. Be on-call and respond to emergency maintenance needs
19. Act as Point of Contact for Health & Safety (First Aiders/ Fire Marshals etc)
Reporting directly to Head of Claims & Operations, this role will have contact with all levels within the Company and will also liaise with external bodies.
Qualifications
1. Educated to GCSE Level or equivalent
2. Good communication and interpersonal skills
3. Good organisational skills
4. A thorough working knowledge of MS office applications
5. Must be numerate
6. Minor repair knowledge (plumbing/ painting etc)
