The role
Reporting to the Sales Ledger Supervisor, the Sales Ledger Administrator is responsible for assisting in the day to day operations of the Sales Ledger Team, ensuring transactions are processed in an efficient, timely and accurate manner.
The SL Administrator is vital in delivering exceptional customer service, whilst maintaining the financial viability of the business by ensuring that customers paying their bills can trade with the Company to the maximum extent possible.
This is a fixed term contract position of 12 months, based upon 37.5hrs/week between Monday and Friday.
Following a successful training and induction period the position will operate on a hybrid basis to include at least 3 days per week based onsite at our Letchworth centre offices.
Key accountabilities
1. Housekeeping of mapping rules in Level 8 Portal
2. Housekeeping of Accounts Receivable Ledger in group co.
3. Ensuring good relations and communications with all members of the team and responding politely and in a timely fashion to internal and external customers.
4. Undertaking any other duties which may be requested by the Sales Ledger Supervisor, for which training and/or an explanation has been provided and understood.
5. Data entry of financial transactions
6. Assist the Sales Ledger Supervisor with training of new staff and current staff on new procedures
7. To ensure procedure documents are kept up to date and in line with current agreed processes.
8. Ensure queries are noted, managed and completed to a satisfactory conclusion, ensuring communication is offered to relevant parties.
9. Ensure all inbound receipts are posted in a timely and accurately to the correct account within the ledger.
10. Reconciling all banking sheets from external centres to the banking entry- reporting and managing those that do not reconcile.
11. Reconcile all entries within the suspense account and ensuring these are cleared from the account timely- reporting any variances timely.
12. Weekly unallocated cash reports to be issued to necessary parties
13. End to end times to be reported and managed- understanding variation causes and acting where necessary.
14. Ensuring non-compliance is reported to line report timely.
15. Liaison with Credit team members and sales/ centres where necessary to resolve queries in a timely manner.
16. Ensure aged unallocated cash is accounted for and noted.
17. Ensure good working relationships and communications with all members of the team are maintained, responding timely to internal and external customers
18. Proactively identify areas for improvement and contribute towards a culture of continuous improvement
19. Attend and contribute to management/department meetings where required
Skills & experience
1. Experience of working in a finance team, preferably Sales Ledger
2. Experience of using relevant finance management systems
3. Possess a logical and analytical approach, with excellent attention to detail and a good level of numeracy and IT skills (MS Excel is essential)
4. Strong organisational and time management capabilities
5. Exceptional customer service skills alongside strong written and verbal communication skills
6. Good interpersonal skills, with the ability to and build positive relationships at all levels
