Imperial College London is seeking an Office Manager to join our dynamic Marketing, Outreach, Recruitment, and Admissions (MORA) division.
This role is crucial in supporting the teams working to attract the best and brightest students to Imperial’s undergraduate and postgraduate courses, as well as empowering young minds from underrepresented backgrounds to pursue futures in science, technology, engineering, and maths.
The post holder will be responsible for the overall day-to-day administration and operational office management of MORA. The work will be varied and range from organising division-wide meetings to supporting the HR function. Key Responsibilities:
* Manage the administrative systems, processes and procedures that support MORA.
* Manage the joint MORA – Registry Administrative Assistant, their work for MORA, and their development.
* Lead the organisation of key meetings and MORA-wide events including the bi-weekly senior management team meetings and monthly division-wide meetings.
* Support the Division in settling into new office spaces in both South Kensington and White City.
* Provide human resources support, including managing MORA’s staff survey action plan, managing staff-related files, and organising access to Imperial systems.
* Administer and coordinate MORA’s finances, including supporting the preparation and reconciliation of MORA year-end accounts; managing equipment purchases; and managing purchase orders, invoices and new supplier set up.
* Assist with general Imperial duties when necessary, such as supporting MORA-led Open Days and Confirmation.
Requirements:
* Evidence of managing and developing staff successfully.
* Experience of developing and implementing policies and procedures.
* Experience of providing high quality customer service and relationship building.
* Ability to manage own workload through effective ordering of priorities and display of good organisational ability.
* A high level of accuracy and consistent attention to detail.
