LB215 - Service Administrator

Overview:
First Military Recruitment are currently seeking a Service Administrator on behalf of one of our clients. Our client encourages applications from ex-military personnel; however, all candidates will be given due consideration.
Duties and Responsibilities:
1. Receive and respond to incoming customer communications via phone and email.
2. Define customer requirements by asking appropriate questions.
3. Ensure that the customer has confirmed that all necessary site requirements are in place to enable a prompt and satisfactory completion, e.g., power on, access, equipment installed, etc.
4. Liaise with key accounts by phone and email as required.
5. Book service visits and confirm with customers, engineers, and others as required.
6. Arrange resources (engineers, stock, parts, tools, equipment, etc.) to enable the satisfactory completion of works.
7. Prepare and issue RAMS to the service manager for checking.
8. Issue and record service logs.
9. Issue and record hazardous waste consignment notes as required.
10. Advise of any resulting outstanding actions.
11. Supply the customer with copies of service logs, RAMS, test documents, consignment notes, etc.
12. Pass RAMS and engineers service logs to service manager for quoting and checking within two days of receiving from the engineers.
13. Completion of orders including reconciling of quotes and customer POs, despatch of job for invoicing.
14. Raise quotations in response to service enquiries.
15. Enter and amend service orders on the system.
16. Despatch completed service orders.
17. Save service order files on completion.
18. Save office copies of service logs.
19. Submit quarterly returns of consignment notes to the Environment Agency.
20. Schedule and book training as needed.
21. Maintain training records.
22. Liaise with service engineers and fulfil requirements (incl. stock in and out).
23. Comply with any legal, quality, H&S, or environmental requirements.
Skills and Qualifications:
1. NVQ level 2 or equivalent.
2. IT Literate, working knowledge of Word, Excel, and Outlook.
3. MRP (123 Insight).
4. Customer service skills.
