Bed Management and Patient Flow Administrator

LSCFT Bed Management & Patient Flow Team are looking to recruit a Bed Management and Patient Flow Administrator. This is a new and exciting role and we are not going to shy away from saying this is ideally a job for someone who thrives in a fast-paced environment. We are a very busy team who undertake numerous tasks simultaneously, often these being time-led requiring an extremely quick response. For the right candidate, this will make the role even more exciting for you working in a rewarding and busy environment. The service is a 24-hour, 7-day service and you will be expected to work shifts over a 7-day period.
The post holder will support delivery of the Bed Management & Patient Flow Service ensuring that calls are dealt with efficiently, in a timely manner and routed appropriately. Working with all inpatient and community services within the adult and older adult mental health services to identify and place patients into beds appropriately and timely, working to agreed protocols and procedures. The post holder will also liaise with external partners and agencies including local Acute Medical Hospitals.
The post holder will work alongside and support the Band 4 Bed Management & Patient Flow Coordinators and wider team including cross cover for Transport Team and coordinate activities with the members of the Team in order that an efficient service is provided utilizing a high level of customer service skills at all times.
Main duties of the job
1. Support the Bed Management & Patient Flow Coordinators and wider team.
2. Answer calls, dealing with messages, ensuring that all telephone and personal callers receive a prompt, courteous, non-judgemental and well-informed response.
3. Respond to queries, some of which may be complex in nature, dealing with routine matters and if necessary forwarding to the appropriate member of staff.
4. Work collaboratively with the appropriate management teams and other departments to provide accurate bed information.
5. Participate in huddles for the bed status update and other relevant information.
6. Ensure an accurate bed state is known across the Trust ensuring data is accurately collated and recorded.
7. Assist with finding beds for patients within LSCFT or neighbouring NHS Trusts and the private sector to identify and allocate beds within the most appropriate environment.
8. Liaise with modern matrons, hospital managers and senior nurses to identify problems at an early stage and help to resolve them.
9. Maintain confidentiality.
10. Clarify and confirm complex and sensitive information to ensure understanding and to ensure timely and effective direction.
11. Maintain and manage a brought forward planning system to ensure that deadlines are met by other team members and colleagues.

Person Specification
Education/Qualifications
* Customer Care NVQ 3 or equivalent
* Business Administration NVQ 3/ECDL or willingness to work towards
Knowledge
* Knowledge of Mental Health Conditions/Services
* Knowledge of a range of secretarial duties
* Good understanding of Microsoft Office Applications
Experience
* Evidence of working in an Administrative Role
* Experience/knowledge of people experiencing mental health problems
Skills
* Work independently or part of a team
* Organisational and time management skills
