This emergency services organisation seeks to deliver prevention, protection, and emergency response services; using their trusted position in themunity to influence the wider safety of people and working in partnership with other organisations where we have shared objectives. They are seeking a permanent EA to support a number of directors. Currently, there a 3 other EAs within this office.
Your new role
The success will be the Executive Assistant to the Director of Service Delivery or the Director of Strategy and Planning, and to the Area Managers within that Directorate, is to contribute to the work of the services by providing a range of high quality administration and secretarial duties. In addition, working as part of the Secretarial Team and as a member of the Executive Board Management Team. Elements of the role will include:
1. Utilising Microsoft Packages including diary management, producing reports and minute taking.
2. Using advanced typing / word processing.
3. Excellent written and verbalmunication skills.
4. The ability to prioritise and maintain organisation for multiple people.
5. Minute taking at management meetings.
6. Shorthand is desirable.
What you'll need to succeed
7. The successful candidate must hold a current driving licence and a car that meets the standards of the emergency services.
8. Be able to attend evening and weekend meetings/events as required.
9. Workload management and planning to balance the needs of the Principal Officers and Senior Officers.
10. Liaising with staff in other organisations and undertake special projects as required.
11. Use of Excel and provision of statistics when required.
12. Dealing with emails, enquiries and messages when necessary, re-direction, attachment of previous papers and making enquiries where necessary.
13. Dealing with confidential correspondence, with researching files, preparing reports and involvement with restricted information where required.
14. Arranging aodation for meetings, attendance at meetings, agenda preparation, minute taking and arranging travel aodation and reservations.
15. Proactively dealing with telephone and personal enquiries.
16. Undertaking administrative and secretarial work.
17. Experience working within Senior Management.
18. Experience of producing accurate and concise minutes at meetings.
