Job Summary
Provide effective high-quality secretarial support to the GPs and Managing Partner.
Main Responsibilities:
* Managing the practice generic mailbox, including:
* Invoices
* Answering general queries
* Patient clinic letters and scanning urgent clinic letters to GP
Job Responsibilities:
* Accurate typing/audio typing/electronic transmission of:
* Medical records
* Referral letters
* Medical reports
* General correspondence to patients, solicitors, other health services providers, and contractors
* GP Tasks
* Photocopying
* Death Certificates
* Fit notes
* GOS 18s (Optician's letters)
* Chasing hospital appointments / clinic letters
* Document management worklist
* Managing the practice generic mailbox, including:
* Invoices
* Managing correspondence (e.g., NHS 111 / discharge summaries)
* Answering general queries
* Managing safeguarding/prescription queries
* Monitoring urgent radiology emails and liaising with GP
Requests for Patient Printouts:
* Management and monitoring of E-Referrals worklists
* Liaising with patients and other health care associated bodies
* Dealing with requests for medical reports and medical records from insurance companies and government bodies
* Accurate and appropriate use of NHS systems and IT systems to maintain good data quality
* Assisting in the development of systems, including referral protocols and NHS coding
* Managing BACS payments, cheques, and petty cash related to insurance reports
Person Specification:
Qualifications Essential:
* Educated to GCSE level in Maths and English or equivalent.
* Typing/word processing skills to RSA III or equivalent including audio typing.
* Excellent communication and interpersonal skills.
* Ability to prioritise and use own initiative.
* At least 6 months experience of dealing with the public and working in an office environment.
* Excellent Microsoft Word and Excel skills.
* Team worker.
Desirable:
* Experience in use of practice IT systems (EMIS).
* Experience in a GP Practice or secretarial position.
* Knowledge of NHS procedures and medical terminology.
