About the role To facilitate parts orders for the AAR repair centres within the Activate Group ensuring both accurate and timely processing of orders and swift invoicing upon completion. To provide accurate and timely administrative support to Head of Parts and Operations Manager. Key areas of responsibility will include managing orders from receipt to delivery, processing supplier invoices, resolving queries providing excellent customer service and the ability to work within a team environment which is fast paced. Key responsibilities - Processing orders placed by AAR repair centres from receipt of parts required, through to parts being delivered and invoice requests upon completion. - Answering telephone queries - Chase supplier invoices and claim references. - Assist with the preparation of sales invoices by email including additional documentation as required by our clients - Other general administrative support as required by the team - Adhere to all relevant regulatory rules and guidance applicable to the role - Receive orders from customers by email and telephone, managing the process from order to delivery. - Maintain databases to ensure orders are entered correctly - Reporting and analysis to ensure compliance - Monitor jobs authorised by Engineers to ensure repairers are ordering parts correctly - Complete ad-hoc projects as required from time to time Skills and experience - Proficient in the use of Outlook, Excel and Word. - Excellent communication skills, in particular telephone based. - High standards of accuracy and attention to detail - Able to work on own initiative and as part of a team - First class customer service skills and the ability to work with internal and external stakeholders at all levels Desirable - Database experience Benefits - 33 days holiday (including bank holidays) - Personal health cash plan - claim back the cost of things like dentist and optical check ups - Enhanced maternity / paternity / adoption / shared parental pay - Life assurance: three times basic salary - Free breakfasts and fruit - Birthday surprise for everybody What you can expect from us At Activate Group, looking after team members is a major priority.
