POSITION SUMMARY
This position provides administrative support to the department and Director of Security Services and Parking Operations. It supports a diverse range of activities and serves as a liaison with other departmental, program Directors & Managers, hospital staff, patients, and outside agencies, ensuring that all administrative functions at this senior level are coordinated with efficiency, professionalism, and confidentiality.
QUALIFICATIONS
1. Must have a 2-year College Diploma from an accredited school
2. Minimum 2 years of experience working in a busy office setting with excellent customer service skills
3. Demonstrated commitment to the values of Service, Responsible Stewardship, Community Responsiveness, and Respect
4. Excellent (Intermediate) skill level in MS Word, Access, Excel, and PowerPoint
5. Accurate keyboarding skill of 55 wpm
6. Clerical testing may be required as part of the selection process
7. Ability to communicate effectively and tactfully, both in person and by telephone, with excellent customer service orientation
8. Maintain excellent interpersonal relationships while handling multiple tasks, conflicting priorities, and frequent interruptions
RESPONSIBILITIES
1. Maintains confidentiality and release of information in accordance with hospital policy at all times
2. Handles all related issues to ensure departmental payroll details are processed properly, updates schedules/call-in sheets, and arranges for staff replacements
3. Provides administrative support to the department by assisting visitors, handling incoming calls, typing routine correspondence, taking minutes at meetings, maintaining department files, and sorting/distributing mail, faxes, and emails
4. Collates and files security occurrence reports and daily logs in preparation for statistical reporting and monthly Occupational Health and Safety Committee meetings
5. Creates and prints photo ID cards for staff, visitors, contractors, etc., as well as programming the cards with required access
6. Develops and maintains various spreadsheets for indicator monitoring and reporting
7. Cross-references and reviews invoices for both accounts payable and receivable, as well as preparing/completing purchase orders and requisitions
8. Provides administrative support to the Director (e.g., controls calendar, coordinates schedule, ensures that all relevant material is available according to the Director's schedule)
9. Provides support to Manager and Supervisors
10. Drafts presentations, proposals, and executive summaries
11. Provides logistical support to both Directors for conferences, seminars, and other educational sessions; registration, coordinating flight, room, and transportation
