Overview
We are seeking a highly organised and detail-oriented Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by managing administrative tasks, supporting staff, and maintaining an efficient work environment. This position requires excellent communication skills and a proactive approach to problem-solving.
Duties
1. Answer and manage incoming calls with professionalism, demonstrating strong phone etiquette.
2. Perform data entry tasks accurately and efficiently, ensuring that all information is up to date.
3. Organise and maintain office files and records, both physical and digital, to ensure easy access to information.
4. Assist with clerical duties such as preparing documents, scheduling appointments, and managing office supplies.
5. Support financial record-keeping using QuickBooks for invoicing and expense tracking.
6. Collaborate with team members to ensure effective communication and workflow throughout the office.
Skills
1. Proficient in office administration with strong organisational skills.
2. Excellent phone etiquette and interpersonal communication abilities.
3. Experience with data entry and maintaining accurate records.
4. Familiarity with accreditations such as FORS & CHAS.
5. Familiarity with CITB (Construction Industry Training Board).
6. Basic knowledge of QuickBooks is advantageous but not mandatory.
7. Ability to work independently as well as part of a team in a fast-paced environment.
8. Strong attention to detail and ability to prioritise tasks effectively.
