What you will do in your working day
Administration
* To act as the first point of contact with staff, suppliers and customers dealing with a range of queries.
* Provide an efficient and effective reception service, dealing with visitors/telephone calls/post/emails/texts.
* Ensure signing in/out procedures are adhered to and appropriate security checks are carried out.
* To help ensure that the information in the school reception area/notice boards are kept up to date.
* Deal with parent communications via word processing letters and electronic systems.
* Keep up-to-date and accurate manual/electronic filing systems
* Update the school calendars, website and social media accounts, etc.
* Be involved in producing the newsletter and other promotional material for the school, as required.
* Maintain pupil records through the school’s Management Information System (MIS).
* Record and notify dinner numbers to the catering team.
* Assist with ensuring policies and procedures are clearly communicated to all stakeholders.
* Work as a team on administrative tasks.
Support to Pupils
* Be the first point of contact for pupil support, eg ill, lost property, etc.
* Administer medicines to pupils in line with relevant procedures.
* Produce attendance certificates, etc, as required.
* Provide administrative support in the transition and induction procedures, via electronic systems/MIS/paperwork, as required.
* To assist with the pastoral care of pupils, attending to their personal and social needs as necessary and building and maintaining successful relationships with them.
Finance
* Maintain stocks, process orders, check delivery notes and follow up queries with suppliers, where necessary.
* Scan and upload documents to electronic systems used.
* Support the SBM with finance tasks, as required.
* Comply with the school’s policies/procedures and the DDAT/Academies Financial Handbooks.
HR
* Record visitors’ identity checks, where necessary.
* Support the SBM with HR tasks, as required.
* Comply with the Trust’s/School’s HR policies and procedures
Health & Safety.
* Act as First Aider.
* Administer first aid and medicines to pupils following policy and procedure guidelines.
* Support the SBM with administrative tasks in connection with Premises, Health and Safety.
* Comply with the requirements of Health and Safety regulations.
Other Duties
* Comply with the Data Protection Act and other legislation to ensure confidentiality is maintained at all times.
* Follow Safeguarding and Safer Recruitment guidelines.
* Promote and support the ethos and principles of the school and to avoid any action that may be detrimental or prejudicial to the interests of the school.
* Undertake any other duties that may reasonably be regarded as within the nature of the duties and responsibilities/grade of the post as defined.
The training you will be getting
Level 3 Business Administration Standard.
You will spend four days each week working and gaining skills in the workplace, and one day each week completing college work remotely.
What to expect at the end of your apprenticeship
After completing a Business Administration apprenticeship, you could become a School Business Assistant or work in a range of environments using your administrative skills.
