DOCUMENT CONTROL DUTIES
* Ensure high standard of Quality Assurance for all project documentation, ensuring compliance with project naming conventions, document control protocols, and ISO requirements.
* Ensure the accuracy, integrity, and security of all project documentation.
* Register received information within EDMS, where required.
* Manage revision and status control of all project documentation.
* Maintain and ensure integrity, accuracy, quality, and security of electronic documents.
* Maintain and ensure integrity, accuracy, and quality of document registers.
* Maintain and ensure integrity and accuracy of electronic and master hardcopy documents (where required).
* Effectively manage the flow of project information and maintain document distribution lists.
* Monitor and manage workflows for consultants/design team documentation.
* Ensure full auditability and traceability of the design coordination process for consultants/design teams to fulfill all golden thread obligations.
* Monitor and manage workflows for review and status of subcontractor/supplier documentation.
* Ensure full auditability and traceability of the approval process for subcontractor/supplier documentation to fulfill all golden thread obligations.
* Monitor and manage workflows for client/employer's agent documentation.
* Manage and maintain project directory within EDMS.
* Generate reports within EDMS for projects as required.
* Accurate retrieval of information.
* Coordinate information for operation and maintenance manuals and project handover, both electronic and paper files where required.
* Assist with other projects and duties as required.
* Promote processes, systems, and services.
* Provide training and guidance for project teams (new starters, internal & external) at all levels for EDMS.
* Ensure Aconex project administration is carried out, with correct security settings assigned and maintained for all users/organizations.
* Collaborate with the quality team and assist in defects and inspections in the field.
* Provide assistance and support to the lead document controller.
* Regular weekly reporting on the status of documents in the document register, chasing originators where required.
* Carry out regular project audits to ensure we maintain quality and project health.
